The Role The Administrative Coordinator provides administrative support with a strong focus on intermediate MS Word skills, including formatting and editing documents. This position is also responsible for processing sales orders, supporting the sales team, and ensuring overall client satisfaction.

Responsibilities Administrative:

  • Perform routine and ad hoc word processing using Microsoft Office.
  • Coordinate and edit the monthly company newsletter in collaboration with various departments.
  • Liaise with suppliers to manage office equipment, coffee, and water supplies, including maintenance.
  • Greet visitors and direct incoming calls to appropriate departments.
  • Relay messages in a timely and appropriate manner.
  • Manage voicemail and email communications daily.
  • Handle incoming and outgoing mail and courier packages, including waybills and inter-branch deliveries.
  • Maintain postage meter and ensure accurate processing of outgoing mail.
  • Keep phone lists, contact lists, and territory lists up to date.
  • Maintain bulletin boards and company correspondence.
  • Manage inventory of office supplies, brochures, and prepaid courier packages.
  • Order and maintain coffee supplies for multiple locations.
  • Process purchase invoices, credit memos, and customer invoices.
  • Distribute vendor invoices to the correct departments.
  • Assist with Accounts Payable tasks as required.
  • Process credit card payments.

Sales Coordination

  • Support the sales team by processing incoming orders into internal systems.
  • Prepare quotes for sales representatives.
  • Collaborate with design, manufacturing, sales, and installation teams to meet customer needs.
  • Review and verify orders for accuracy and completeness.
  • Track sales shipments, deliveries, billings, and backlog reports.
  • Coordinate product deliveries to meet customer timelines.
  • Process invoices, quotes, and claims.
  • Obtain quotes and purchase products from vendors.
  • Manage freight requirements and export paperwork.
  • Respond to customer inquiries regarding order status.
  • Resolve order-related issues or escalate when necessary.
  • Support invoicing, payables, and reporting for month/quarter end processes.
  • Assist with inventory control.

Requirements

  • Excellent organizational skills and strong attention to detail.
  • Ability to manage multiple tasks simultaneously with accuracy and efficiency.
  • Professional written and verbal communication skills in English.
  • Ability to work independently with minimal supervision.
  • Strong interpersonal skills with a customer-focused, team-oriented approach.
  • Reliable, flexible, and adaptable to changing priorities.
  • Strong reasoning and problem-solving skills.
  • Mechanical and spatial aptitude with the ability to understand product applications.
  • Intermediate Microsoft Word experience required (formatting and editing documents).
  • 2–5 years of office or administrative experience required.
  • High school diploma or equivalent required.
  • Experience in a manufacturing, production, or construction environment is an asset.
  • Experience operating a switchboard.
  • Proficiency with other Microsoft products (Excel, Outlook, Publisher) considered an asset.
