is a leading independent co-educational boarding school for ages 12-18 (grades 8-12) on Canada's beautiful west coast. ADMINISTRATIVE ASSISTANT

Position Start Date: Ideal start date of September 4, 2025, though a later start may be considered.

Office Hours: Our front office operates year-round, with office hours Monday through Friday, 8:00 a.m. to 4:30 p.m.

JOB DESCRIPTION

As the first point of contact at Shawnigan Lake School, the Administrative Assistant plays a key role in welcoming and supporting our vibrant community. In this role, you'll provide a wide range of administrative support to colleagues, school leaders, parents, students, and visitors. Guided by our 4C's of Curiosity, Community, Compassion, and Courage, you'll bring a friendly, helpful approach to every interaction while ensuring the front office runs smoothly while assisting with a variety of tasks as needed.

The wage range for this position is $25 to $28 per hour, plus a full benefits package, and RRSP with employer-matched contributions (for employees working 30 hours or more per week), paid vacation, a flexible work environment, and a nurturing family-friendly workplace.

ROLES AND RESPONSIBILITIES

Reporting to the Director of the Head's Office, as the welcoming face of Shawnigan Lake School, the Administrative Assistant will:

  • Greet and assist staff, students, and visitors, ensuring every guest feels valued and supported;

  • Manage front office communications with professionalism, handling calls, emails, correspondence, and mail services;

  • Keep our community connected by maintaining office and school calendars, and preparing and sharing announcements, memos, meeting notes, and weekly overviews;

  • Support the smooth running of school operations by maintaining accurate records, databases, and phone lists;

  • Partner with Academic and Student Life offices to process away forms, track attendance, and issue travel letters and accommodations;

  • Keep shared spaces and resources organized and ready, ensuring supplies are stocked and staff areas are welcoming;

  • Play a key role in school life by assisting with special events such as Board Meetings, Awards Ceremonies, and Closing Week, including the organization of trophies and honour boards; Contribute to the overall success of the team by taking on additional administrative tasks as needed.

REQUIREMENTS

  • High School diploma with a certificate in office administration or an equivalent

combination of education and experience;

  • Two to three years' experience in an administrative assistant role, preferably within a school environment;

  • Proficiency in Google and Microsoft Office Suites;

  • Strong interpersonal and communication skills, with a friendly, helpful disposition and customer-focused approach

  • Ability to build positive connections with staff, students, parents, and visitors, and ensure guests and visitors feel comfortable and valued while on our campus;

  • Ability to use discretion and maintain confidentiality; Excellent organizational skills with the ability to manage tasks efficiently and meet deadlines.
