Reporting to the Associate Vice-President, the Director, Finance and Administration is a key contributor and member of the unit’s leadership team, acting as a confidential advisor to the Associate Vice President and making sound business decisions. The Director, Finance and Administration participates in strategic planning and provides strong strategic and operational leadership and vision to a group of managers and staff. Working closely with the Associate Vice-President, the Director, Finance and Administration manages the administrative, human resources, and financial operations of the faculty/unit while ensuring operations are effective and in accordance with collective bargaining agreements, policies, and procedures. Responsibilities are of a complex and highly confidential nature.

What You’ll Do:

  • Strategic Planning and Leadership: The role provides strategic advice on long-term financial and business planning to support the faculty’s or unit’s mandate in alignment with the University’s mission, goals, and policies. As a key member of the leadership team, the position contributes to high-level decision-making related to budget allocation, programs, and staffing, and may participate in academic or service reviews and the implementation of resulting recommendations. The role also involves making operational recommendations, such as identifying underperforming programs or services for potential revision or discontinuation, and managing confidential planning and financial information to inform strategic decisions.

  • Financial Management: The role is responsible for overseeing all financial matters within the faculty or unit, including the development, management, and monitoring of the annual budget, cost recoveries, and capital planning. It involves financial forecasting, tracking revenue and expenditures, and advising on budget adjustments, staffing changes, and capital project feasibility. The position also ensures compliance with financial policies and grant terms, prepares and reviews financial reports, audits transactions, and manages financial procedures, assets, and approvals.

  • **Human Resource Management:**The role provides comprehensive human resource management within the faculty or unit, overseeing recruitment, onboarding, performance reviews, staff development, and day-to-day supervision. It assesses staffing needs in alignment with strategic and budgetary priorities, supports hiring and orientation processes, and ensures compliance with collective agreements, policies, and procedures. The position manages employee relations, including disputes, grievances, and disciplinary actions, while also leading job design, restructuring efforts, and contingency planning. Additionally, it champions equity, diversity, inclusion, and workplace health and safety, ensuring a supportive and compliant work environment

  • **Administration:**The role manages the faculty’s or unit’s administrative services and internal operations, ensuring efficient support through the development and continuous improvement of policies, procedures, and practices. It involves strategic planning for space, capital projects, and resource allocation, as well as overseeing procurement, records management, and information systems. The position also liaises with external agencies, represents the unit on University-wide committees, and promotes innovative, efficient practices to enhance service and academic standards.

Position Requirements

What You’ll Bring to this Position:

  • Undergraduate degree in a relevant field, such as Administration or Human Resources Management.
  • Five to eight years of management experience in business administration, finance, or administrative services, preferably in an academic setting.
  • Equivalent combination of education and experience may be considered.

Skills That Will Ensure Your Success in the Role:

  • Experience in leading and managing employees.
  • In-depth knowledge of University policies, procedures, and collective bargaining agreements.
  • Knowledge of finance, accounting, budgeting, and cost control procedures. Experience in strategic and operational budget administration.
  • Advanced level of knowledge of financial transactions for budget and monitoring/control purposes.
  • Ability to manage and analyze data.
  • In-depth knowledge of faculty/unit operations and practices (e.g. sessional and teaching assistant hiring procedures, event management, discretionary budget usage, scholarships and awards, funding practices, processes which engage other units on campus, such as Human Resources, Registrar’s Office, Financial Services, Bookstore, and Research Services, etc.)
  • Demonstrated ability to appropriately manage sensitive and highly confidential information.
  • Ability to manage administrative services, such as plan, organize, direct, control, and evaluate the administrative operations of the various units within the faculty/unit; establish and coordinate internal administrative policies and procedures.
  • Strong interpersonal skills (consultation, communication, negotiation, and relationship building).
  • Experience in monitoring and evaluating administrative program effectiveness, and experience in developing and implementing new strategies and procedures.
  • Demonstrated ability to prepare and present reports, interpret options, and implement desired outcomes
