The Ministry of Health is seeking a highly motivated, detail-oriented, and organized Records Manager to support a class action lawsuit. The successful candidate will be responsible for the accurate identification, retrieval, organization, and production of both physical and electronic records. This role is essential in maintaining legal compliance, managing discovery requests, and coordinating records across Ministries.
Reporting to the Director, Financial and Information Services Unit at the Drug Plan and Extended Benefits Branch, the Records Manager will demonstrate superior communication and interpersonal skills to establish and maintain effective working relationships with internal and external stakeholders. The ideal candidate is a collaborative team player with a reputation for integrity, service excellence, and innovation. Key responsibilities will include:
- Lead the identification, retrieval, and organization of records directly related to a specific class action lawsuit.
- Implement and manage legal hold protocols to preserve relevant records.
- Collaborate with legal counsel, IT teams, and Ministry stakeholders to locate and transmit sensitive case-related information.
- Maintain a detailed chain of custody and audit trail for all records handled during litigation.
- Ensure compliance with privacy laws, regulatory requirements, and internal policies throughout the process.
- Support discovery and production processes with precision, discretion, and responsiveness to legal timelines.
- Oversee secure storage, access controls, and proper disposal of records post-litigation.
The candidate of choice will have:
- Proven experience in records management, legal support, or compliance roles.
- Experience supporting litigation or class action discovery, including legal holds and document production.
- Strong understanding of legal discovery protocols and records practices.
- Excellent organizational, analytical, and communication skills to manage complex records and liaising with legal counsel and stakeholders.
- Knowledge of privacy regulations and record retention policies, including the Public Records and Archives Act, Freedom of Information and Protection of Privacy Act, and the Health Information and Protection of Privacy Act.
Typically, the knowledge and skills required for this position would be obtained by the completion of a degree in Business Administration, certification in Records Management or Information Governance, or the equivalent combination of experience and education. Experience working with government records management is a requirement.
