Overview

In this position, you will play a key role in our student admissions process by conducting financial interviews, explaining financial options and completing required documentation.

Reporting to the Lead, Student Finance Administrator, the Student Financial Administrator is a friendly, positive and energetic professional who demonstrates prompt contact and follow-through, knowledgeable responses and respectful interactions.

The Student Financial Administrator has strong interpersonal skills, a pleasant telephone voice, and ability to manage multiple tasks and successfully meet deadlines. Emphasis is placed on quality and compliance in the accurate completion of documentation and reporting as part of the College’s Admissions process

Key Responsibilities

  • Conduct preliminary financing interviews with new students within 24 hours of contract.
  • Provide students with accurate information regarding the application process, loan counseling and their eligibility for Federal/Provincial financial assistance, alternative financing, contracts and/or institutional payment plans.
  • Inform students of their financial obligation, the institution’s financial aid options, and financial policies and procedures as related to their educational expenses.
  • Advise students of their obligation to provide accurate information and the potential consequences related to their application and funding process.
  • Diligently follow-up to ensure timely completion of Notice of Assistance (NOA), Confirmation of Enrollment (COE) documentation for each student, as required.
  • Time bound paperwork, feedback and submission of paperwork to relevant funding agencies like Manitoba Student Aid, Alberta Student Aid, National Student Loans
  • Perform accounts receivable reports for overdue payments and verify results.
  • Process notifications to students who are overdue and follow up on payment plans.
  • Review financial applications and disclosure statements for completeness and accuracy.
  • Update appropriate systems to ensure the timely processing, funding, billing and collections of the package selected.
  • Monitor and follow up on the status of all pending student loan documents in order to maintain an accurate accounting of each student’s financial aid package through first disbursement.
  • Provide support for OneRobertson and Robertson Online.
  • Check and approve refund requests and follow up with funders invoices for payments (A/R).
  • Process Electronic Fund Transfer (EFT) and Credit Card (CC) payments and reconcile accounts.
  • Manage AR Aging for each campus’ inactive and Active Accounts.
  • Update student loan information, including yearly changes and repayment details.
  • Maintain Email Templates and consistent messaging across All of Robertson.
  • Performs related or similar duties as required or assigned.

Participation in College, Division, and Program Activities

  • Attends staff meetings and training sessions.
  • Participates proactively in performance appraisals.
  • Supports active interdepartmental cooperation with other departments
  • Performs other duties/participates in special projects as assigned.

Minimum Requirements

  • Minimum of 2 years’ experience working in a financial / customer service related role or college finance / admissions.
  • Post-secondary education is an asset
  • Familiarity with Provincial Student Loan programs an asset
  • Experience working with internet-based communication tools
  • Strong telephone skills, with the ability to communicate effectively and professionally over the phone
  • Ability to utilize Company approved scripts and approaches during telephone calls, and will be responsible to enter information in a CRM.
  • Ability to comply to all Company policies and best practices and comply with related governmental regulations.
  • Highly motivated team player, with a positive attitude and a willingness to collaborate with colleagues
  • Ability to effectively organize and establish priorities.
  • Excellent communication and problem-solving skills.

Job Types: Full-time, Permanent

Schedule:

  • 8 hour shift
  • Monday to Friday
  • Weekend availability
