Job Summary:
The Information Technology & Operations Coordinator provides direct support to the IT, Operations and QA Lead and assists in general company operations. This includes troubleshooting Windows-based devices and AV equipment, managing Microsoft 365 applications, and carrying out various operational and administrative tasks and initiatives.

**Key Responsibilities:**1. Technical Support:

  • Provide first-level support and troubleshooting for hardware, software, and network issues, and escalate issues to external third-party technology vendors and/or IT, Operations, and QA leads.
  • Assist with setup, configuration, and troubleshooting of AV/TV systems.
  • Diagnose and resolve technical issues related to hardware and network systems, printers, and peripheral devices
  • Serve as the first point of contact for employee support across all Microsoft 365 applications (Outlook, Teams, SharePoint, OneDrive, etc), troubleshooting issues and providing user guidance. Admin Portal experience is a plus.
  • Update and maintain the company website, ensuring functionality, accuracy and content relevance (WordPress platform).
  • Update Group Medical Visit (GMV) schedule monthly in Electronic Medical Records (EMR) and website.
  • Escalate complex issues as needed to the IT, Operations & QA Lead.
  • Collaborate with staff across departments to ensure smooth IT and operational workflows.
  • Maintain clear communication on project status, troubleshooting efforts, and task completion.

2. EMR superuser and system configurators:

  • Serve as a superuser and subject matter expert for ChangePain’s ERM system, assisting system, and assisting staff with various user access management, configuration, troubleshooting, and best practices, including governance and compliance for proper record retention and access.
  • Configure the EMR system to meet operational needs, improve workflow efficiency, and enhance patient care in collaboration with the IT, Operations and QA Lead, if needed.
  • Ensure the security, confidentiality and proper retention of ERM in compliance with legislation (such as Personal Information Protection Act, E-Health Act), organizational policies and records management standards.

3. Project Execution:

  • Carry out various IT, quality assurance, and operational projects assigned by the IT, Operations & QA Lead.
  • Work independently on delegated projects, ensuring timely completion and quality outcomes.
  • Maintain project documentation and provide regular progress updates.

4. Support to Operations Director:

  • Assist with administrative and operational duties as assigned to support the Operations Director.
  • Supports the review, updating and administration of various contracts, including employment, contractor and third-party agreements.
  • Supports facility management activities, including annual equipment maintenance, inventory management, and ensuring safety and compliance standards are met.
  • Coordinates maintenance and servicing of medical and facility equipment, liaising with staff and external vendors.
  • Maintain and update maintenance records, equipment logs and related documentation to ensure accuracy and compliance.
  • Supervise and audit facility cleaning staff to ensure they meet the CPSBC standards
  1. Other duties as assigned.

Qualifications:

  • Post-secondary diploma or degree in Information Technology, Business Administration, or related field preferred; equivalent experience accepted.
  • Proficient in Microsoft 365 (Outlook, Teams, SharePoint, OneDrive, Admin). MS Admin portal experience is an asset.
  • Experience supporting and troubleshooting hardware, software, AV systems and networks.
  • Familiarity with Electronic Records Management Systems, ideally Electronic Medical Records. Basic understanding of data security, privacy and compliance requirements.
  • Strong organizational and multitasking abilities to manage varied projects.
  • Strong problem-solving skills with the ability to manage projects effectively.
  • Excellent communication skills, both written and verbal, with a customer-service mindset for frontline support.
  • Ability to work independently under minimal supervision.
  • Prior experience in a medical or healthcare environment is an asset.
  • Professional team player who can collaborate with IT, Operations, admin and other departments.
