We are seeking a highly organized and proactive Project Coordinator & Estimator to join the tight-knit Ottawa team. This is a hybrid position that involves a combination of office-based work and on-site visits at various stages of each project. The successful individual will support commercial interior construction projects from conception through to execution. This hybrid role blends technical estimating with hands-on coordination, ensuring accuracy in pricing and project delivery while maintaining excellent communication and stakeholder alignment with internal teams, vendors, architects, and clients.

Role Responsibilities
- Organize and manage all project documentation, ensuring accurate communication with teams, clients, and stakeholders, and follow up on coordination tasks and meeting action items.
- Develop cost estimates and material takeoffs using internal software tools.
- Draft project proposals with timelines, scope, and resource plans.
- Manage project costing and profitability by assessing risks, optimizing estimates, and monitoring performance.
- Work closely with clients to clarify and document project requirements, scope, and goals throughout both preconstruction and construction phases.
- Propose cost-effective alternatives and solutions and champion value engineering in collaboration with key stakeholders.
- Participate in site walkthroughs with the Project Manager to gather essential details for accurate bid preparation.
- Review and interpret construction documents, specifications, and architectural/MEP drawings with precision.
- Support the Project Manager in scheduling, tracking project milestones, and identifying issues to maintain on-time delivery.
- Prepare and process accurate Change Orders promptly to reflect evolving project requirements.
- Manage procurement processes by completing detailed takeoffs and ensuring timely, accurate material delivery. Track all materials used in a project, including specific measurements, quantities, and component types.
- Assist project and installation teams on-site as needed, while transitioning seamlessly between field support and office-based coordination.
- Track compliance with governmental regulations, safety standards, quality, and project requirements.
- Monitor market trends and maintain an up-to-date pricing catalogue.
- Participate in project meetings and follow up on action items as required.
- Build and maintain strong relationships with local vendors, designers, architects, general contractors, engineers, labour groups, unions, and other key stakeholders to enhance procurement efficiency and expand supplier networks.
Role Requirements
- Post-secondary diploma or degree in construction management, architecture, interior design, or a related field preferred (not required).
- Demonstrated experience in a project coordination or similar role within construction, interior fit-out, or commercial design.
- Strong understanding of construction methods, documents, materials, terminology, and interior fit-out processes.
- Familiarity with Ontario Building Code and permitting practices.
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with Bluebeam, Revit or other construction-related software is an asset.
- Ability to work full-time, on-site, based in Ottawa. The role involves a mix of office-based coordination and on-site visits.
- Capacity to work outside standard business hours as needed to meet project demands.
- Valid driver's license and ability to travel locally to job sites as needed.
- Strong organizational and time-management skills; able to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills; client-facing experience is preferred.
- Detail-oriented and resourceful, with a proactive problem-solving mindset.
- Aptitude to read and interpret construction drawings and plans.
Compensation: A competitive base salary with profit-sharing opportunities and comprehensive benefits will be part of the compensation package.
