Registrarial services strive to directly support students’ success in their university studies, campus life and subsequent life pursuits. The range of services provided by the units within the OREM appear at every point in the student life cycle, beginning with recruitment and admissions, all the way through to convocation. Members of the OREM team strive to be consistent in their interpretation, communication and application of regulations, policies and procedures while being both professional and respectful of the diversity and complexity of needs across the university campus. The OREM interacts with staff, students, faculty, university and external community members in order to assist in the delivery of core services that cross operational and departmental boundaries (e.g., registration, class and exam scheduling). It is important that students and our university colleagues are well-informed and well-supported by the OREM and the services offered.

The salary range for this position is:

  • Recruitment range: $69,052 - $76,129 starting salary determined by the PEA Collective Agreement.
  • Performance range: $89,791 salary range ceiling is available through annual performance increases.

Job Summary

Mandate
The Coordinator, Scheduling is responsible for academic course and final exam scheduling, classroom space bookings, and scheduling within the Office of the Registrar and Enrolment Management (OREM). This position is responsible for the supervision, scheduling, training, and operational oversight of a team of Scheduling Clerks. By fostering consistent standards and collaborating across departments, the Coordinator provides service excellence to students, faculty, staff and external booking requests.

Objectives

  • Lead and support a team delivering on scheduling priorities for the university.
  • Manage the recruitment, training, and professional development of scheduling clerks to ensure consistently high levels of service and on-time publication of academic course and exam schedules throughout the academic year.
  • Serve as the point of escalation for any scheduling-related issues, resolving operational and institutional concerns swiftly and appropriately.
  • Maintain accurate scheduling records and statistics to support planning, reporting, and continuous improvement.
  • Collaborate with OREM, faculty, and other departments to ensure scheduling services are aligned with strategic plans and institutional priorities.

Evening and weekend work may be required during peak periods.

Job Requirements

This position requires a level of education, training, and experience equivalent to a Bachelor’s degree plus a minimum of three years of relevant experience in a post-secondary setting, including team supervision and program coordination. An equivalent combination of education, training, and experience may be considered.

Knowledge, skills, and abilities:

  • Demonstrated commitment to equity, diversity, and inclusion in a post-secondary environment.
  • Deep understanding of scheduling within a postsecondary environment, including academic courses, final exams, and other events.
  • Knowledge of postsecondary systems, structures, operations, practices and processes
  • Demonstrated experience with student information systems such as Banner and FAST, course and exam scheduling software such as Infosilem, as well as advanced knowledge of Microsoft Office applications, with the ability to support and train staff using these systems.
  • A high level of understanding regarding the work of a Registrar’s office in a post-secondary environment.
  • Strong leadership abilities with a collaborative and motivating style.
  • Proven experience designing and delivering effective training programs.
    • Excellent organizational, time management, and problem-solving skills.
  • High attention to detail and accuracy in documentation and scheduling.
  • Ability to build and maintain positive relationships across diverse teams and populations.
  • Comfort working in a unionized environment and familiarity with collective agreements.
  • Ability to work evenings and weekends as needed.
  • Ability to input data with a high degree of accuracy while managing frequent interruptions.
  • Ability to conduct research, write reports, and make recommendations.
  • Ability to move cartons of paper up to 20kg in weight.
