This growth will diversify the housing portfolio beyond its traditional focus on first-year undergraduate students to include upper-year, graduate, and family housing, as well as a constantly evolving internal and external client base.
The department operates with an annual pre-expansion budget of approximately $31 million and employs over 100 full-time and 250 part-time staff. HCS reports directly to both the Divisions of Student Affairs and Operations & Finance.

Job Description
The Residence Admissions Analyst is responsible for achieving residence occupancy targets and enhancing operational efficiency through a combination of admissions coordination, data analysis, and systems support. This role manages the end-to-end residence admissions and leasing process for undergraduate, graduate, family, and exchange students, while also serving as a technical and analytical resource for residence systems.
The position provides exceptional customer service, ensures policy compliance, develops and analyzes housing data, and collaborates with both operational and IT teams to improve processes, reporting, and the applicant experience.
Residence Admissions & Leasing Management
- Apply established residence admission criteria to evaluate applicant files, process admission decisions, and manage allocation of residents to optimize occupancy and community development.
- Provide information and guidance to current and prospective residents and their families regarding eligibility, housing options, application procedures, deadlines, and lease terms.
- Administer residence admissions processes including application tracking, document review, and waitlist management.
- Maintain accurate records of student documentation, accommodation requests, appeals, lease renewals, and vacancies.
- Coordinate move-in/move-out, cancellations, withdrawals, and room changes.
- Research best and leading practices, recommend policy and procedure updates to remain competitive with peer institutions.
- Assist in the development of residence contracts, terms, and conditions to ensure compliance with university policies and calendars.
- Participate in recruitment, marketing, and outreach events to support residence occupancy goals.
- Process and reconcile residence deposits and fees in collaboration with other departments.
Systems, Data Analysis & Business Process Improvement
- Act as a subject matter expert for residence admissions systems (e.g., Mosaic, StarRez) to ensure accurate data entry, system performance, and user support.
- Analyze occupancy and leasing data to forecast trends, track performance, and inform strategic decision-making.
- Develop and maintain dashboards, reports, and visualizations using tools such as Excel, Power BI, or StarRez.
- Design, distribute, and interpret surveys.
- Conduct system testing (integration, regression, performance) and manage defect tracking for system updates.
- Translate operational needs into technical requirements for system enhancements, collaborating with IT and vendors as needed.
- Maintain process flow documentation, training materials, operational timelines, and system configuration records.
- Conduct gap analysis and predictive modeling to forecast housing demand and inform process improvements for future residence expansions or renovations.
- Present analytic tools and findings to others for use, interpretation, or to inform leadership decision making.
Special Projects & Digital Engagement
- Serve as primary liaison for assigned P3 (Public-Private Partnership) residence property, ensuring contractual compliance, occupancy targets, and reporting requirements are met.
- Support digital marketing initiatives for residence leasing by providing data-driven insights and analytics that inform campaign strategy, content planning, and performance evaluation.
- Explore and implement AI-based marketing tools to enhance outreach and applicant engagement.
- Provides functional guidance to others on an ongoing basis.
- Ongoing responsibility for hiring and supervising up to 9 casual employees at any one time.
- Ensure adherence to quality standards and procedures for short-term staff.
Qualifications
- Education: Degree in a relevant field (e.g., Business Administration, Information Systems, Housing Management) or an equivalent combination of education and experience.
- Experience: Minimum of 5 years in student housing, property management, or related field, with at least 2 years in a role involving systems administration, data analysis, or business process improvement.
