About the role
Skwah First Nation is seeking a skilled and detail-oriented Membership Registration Administrator to support the Chief Administrative Officer (CAO). This is a Part-time, permanent position located at the Skwah First Nation Band Office in Chilliwack, BC.
Under the direction of the CAO, the Membership Registration Administrator is responsible for the accuracy and integrity of the Membership Registry and supporting the Skwah First Nation members in accessing registration and status card services, in accordance with the Indian Act and Skwah First Nation policies and procedures. The successful candidate will demonstrate professionalism, attention to detail, and a respectful approach aligned with the values of Skwah First Nation.
The Membership Registration Administrator will play a vital role in supporting community services and maintaining accurate membership records.
Duties And Responsibilities Indian Registration & Band Program Support:
- Validate that all supporting documents, including birth, death, marriage, and divorce certificates meet the criteria for registration purposes.
- Confirm accuracy of data with Indian Registration Administrators (IRA’s) of other bands before reporting events affecting those bands.
- Oversee forwarding of appropriate documentation and data entry to the region, noting any inconsistencies in the band’s Indian Register and advising the department of changes.
Registration Management:
- Ensure accurate and up-to-date entries in the membership database, including vital events and personal information changes.
- Oversee documentation and reporting of information and amendments to Aboriginal Affairs Canada.
- Provide letters for members and students seeking bursaries or scholarships.
- Conduct semi-annual audits of the membership database through direct member contact.
Indian Status Review Assistance:
- Communicate with applicants and/or representatives to review Indian status applications.
- Conduct research and gather documentation to determine kinship and eligibility.
- Provide accurate information on Indian Act policies and procedures.
- Review completed registration applications before forwarding them to the appropriate authorities.
Issuing of Status Cards to Registered Indians:
- Issue status cards per IRA policies, verifying application forms, identification, and photo submissions.
- Ensure application accuracy and consistency with the Indian Register.
- Maintain standards for timely processing and submission of Certificates of Indian Status.
Indian Register Administration Assistance:
- Ensure the security and integrity of all Indian Registration information and documentation.
- Implement security protocols for registers, status cards, and related materials.
- Maintain effective filing systems and support audits by IRS representatives.
- Follow and implement recommendations from IRS audits.
- Maintain contacts with Indian Registration Administrators from other bands.
- Attend training sessions as recommended.
- Provide training and support to Membership Registration Assistants.
- Lead membership support for annual distributions such as Christmas.
- Perform other duties as assigned by the CAO.
Required Qualifications
- High School Diploma or GED equivalent.
- 1-2 years of administrative experience.
- Experience with telecommunication systems and office equipment.
- Proficient with Outlook, MS Word, Excel, SharePoint, and internet applications.
- 1-2 years related experience, preferably with membership registration policies and procedures.
- Strong time management, organizational, and customer service skills.
- High ethical standards, strong work ethic, and motivation.
- Experience with Xyntax is considered an asset.
- Ability to work in a team, cultural, and politically sensitive environment.
- Ability to multitask and manage competing priorities.
- Strong communication skills, both written and verbal.
- Ability to maintain confidentiality and follow Skwah First Nation’s policies.
- Neat in appearance, outgoing, friendly, and cooperative.
- Knowledge, respect, and understanding of Stó:lō culture, traditions, and language is considered an asset.
- Experience working with First Nations communities is an asset.
- Satisfactory Criminal Record Check.
Compensation The position offers a competitive compensation package with tax exemption for eligible candidates, with salary dependent upon education and experience. Working Hours And Schedule Monday to Friday, 8:00 am to 4:00 pm - 25 hours/week Ability To Commute/relocate 615 Wellington, Chilliwack, BC V2P 2G2
