About this Role

The receptionist’s goal is to keep the office functioning smoothly by organizing and coordinating various administrative requirements for the Taggart Group of Companies. In this hands-on role, the receptionist will actively maintain all front desk reception needs while attending to administrative functions of the office. The receptionist plays a key role in providing clients, guests, employees, and other stakeholders with a professional, positive, and productive experience in their interactions with the Taggart Group.

The ideal candidate will have a strong customer service orientation, have attention to detail, be able to handle a high-volume of demands, be able to multi-task and prioritize, have great computer skills and be professional when dealing with people across various levels.

Key Responsibilities:

  • Serve as the first point of contact for incoming calls, emails, and visitors, providing a welcoming and professional front-of-house experience.

  • Respond to general inquiries and redirect or escalate issues to the appropriate person or department as needed.

  • Troubleshoot and address recurring inquiries, including job applications and construction-related questions.

  • Schedule meetings and manage boardroom bookings, proactively resolving conflicts and last-minute changes.

  • Coordinate mail, courier deliveries, and outgoing shipments.

  • Support office hospitality by assisting with refreshments, shared spaces, meeting readiness, and management lunches as required.

  • Provide support coverage for the Office Administrator during holidays or absences, including coordination of meeting and hospitality needs.

  • Assist with office events and general office services as required.

  • Support office supply inventory and ordering in coordination with the Office Administrator.

  • Provide administrative support to shared service teams and other departments as needed, contributing to an organized and positive office environment.

Education and Experience Requirements

  • A minimum of two to five years' experience in a reception-based role supporting a large office.

  • Very strong communication skills, verbally and written, in English.

  • Strong time management, prioritization, and multi tasking and planning skills.

  • Strong attention to detail.

  • Expert working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

  • Friendly and helpful demeanour with strong customer service orientation.

  • Ability to maintain high level of confidentiality at all times.

  • A valid Ontario driver’s license and access to a vehicle is considered an asset to support occasional office and meeting-related errands.

Physical/Sensory Effort/Work Environment

  • Providing service to several people or departments, working under many simultaneous deadlines.

  • Sitting or standing for long periods of time at a workstation.

  • Manual dexterity required to use desktop computer and peripherals.

  • Repetitive work.
