Location- This role is hybrid with a mix of remote and in-person work at Enterprise Square.

The Leave Administrator is responsible for the effective administration of employee leave and absence processes. This role coordinates a broad range of employee leaves, provides guidance on leave-related procedures, and ensures transactions, documentation, and records are processed accurately and in a timely manner in accordance with university policy, collective agreements, and applicable legislation.

Working closely with colleagues across Human Resources, and other internal shared service areas, the Leave Administrator supports leave management, illness and disability-related processes, return-to-work administration, and employee data accuracy within PeopleSoft.

This position is well-suited to a detail-oriented HR professional with strong organizational skills, and experience managing complex leave processes in a service-focused environment.

Shared Services is a close-knit community of smart, approachable people who collaborate, exchange knowledge and identify solutions. Our team of experts problem-solves by collaborating with Centres of Expertise (centres providing strategic expertise and specialized services in specific functional areas), faculty and staff in order to see the whole end-to-end process and find a solution that works for the entire community. We provide advice, guidance and leadership in process, quality and accuracy.

The staff who are joining Shared Services can expect to feel empowered in the service they provide and look to grow their careers with critical thinking, relationship building and ongoing learning opportunities.

  • Provide guidance and advice on processes related to all employee absences (special leave, vacation, casual illness, general illness, LWOP, sabbatical etc)

  • Review sick/illness leave entries for support employees including LTD and gradual return to work (as communicated through third party provider and HRHSE)

  • Liaise with Return to Work (RTW) Consultants and Employment Lifecycle Advisors for updates related to waiving vacation and processing RTW hours for vacation pay. Apply, monitor and notify usage as per appropriate collective agreement.

  • Validate absence and leave balances to ensure it is correct.

  • Administer sick leave and long term disability claims. Facilitate the completion and submission of timely applications for long term disability benefits.

  • Assisting with data cleanup in Peoplesoft.

  • Ensure requests for leaves are processed in a timely manner, complete leave letters and top up spreadsheets for input.

  • Determine eligibility for certain leaves (excluding general illness, medical, LTD and disability) and verify that the employee requesting a leave receives the right information

  • Monitor program activity and provides metrics on leave usage.

  • Assist with appointment processing and updates as needed

  • Postsecondary diploma in Human Resources, Business Administration, or a related field; equivalent combinations of education and experience will be considered.

  • Minimum two years of related experience in a large organization, preferably in the post-secondary or public sector, with hands-on experience using an enterprise HR or HCM system.

  • Demonstrated ability to comprehend and apply collective agreements, HR handbooks, and institutional policy consistently.

  • Strong attention to detail and data accuracy.

  • Proven ability to manage high volumes of transactions under tight deadlines without compromising quality.

  • Clear, respectful verbal and written communication and ability to simplify and articulate complex processes or information

  • Skilled in planning and organizing time and resources to achieve results and identify critical tasks and focus on competing priorities while working with strict deadlines.

  • A genuine service mindset, and commitment to understanding client needs and expectations

  • Collaborative spirit working in a team environment and building productive relationships with colleagues across functional areas.

  • Proficiency in Microsoft Office Suite and comfort learning new tools and workflows as the technology environment evolves.

This position is subject to all applicable terms and conditions of the collective agreement between the Governors of the University of Alberta and the Non-Academic Staff Association (NASA).
