The extraordinary candidate will be warm and welcoming both in person and through the telephone lines, have over-the-top organizational skills and will thrive at being an integral part of a busy customer-service based atmosphere. They will know just exactly how to make everyone feel welcome and can take on any task (no matter how boring and mundane) with a smile and cheery can-do attitude.
This position is responsible for our fast-paced hectic switchboard (no voicemail boxes here – our customers love talking to real people, not machines J) and being the charming, happy face at the forefront of our facility. This position also takes on duties as the Executive Assistant to our President & Leadership Team and assists several departments with a wide variety of administrative duties including scheduling appointments, arranging travel plans, data entry, drafting correspondence and assisting human resources with event planning and employee programs.
Requirements
- Coordinates incoming and outgoing communications (phone, email, fax, etc.), and greets visitors to the office.
- Facilitates effective communication between all the departments in a manner that fosters supportive working relationships between individuals and teams.
- Assist in acting as Falcon’s first-line customer relations representative for all inquiries.
- Provide administrative duties (including data entry, accounts payable/HR duties, travel booking) for the branch as required.
- Maintains the reception area in a tidy and presentable manner and ensures there is fresh coffee available daily.
- Other duties as assigned.
Qualifications
- Post-secondary diploma in Business Administration or relevant discipline.
- Prior experience in a heavy equipment environment (preferred)
- Minimum of 2 years of experience in reception and customer service
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals
- Able to effectively communicate both verbally and in writing
- Able to work efficiently as a part of a team as well as independently
- Computer literacy, including working skills of MS Office and Outlook
- Attention to detail in all areas of work
- Good organizational, time management and prioritization skills
- Strong work ethic and positive team attitude
