Manager, Fund Development & Donor Data Integrity

Position Overview The Administration & Digital Communications Coordinator is a split role that supports both Digital Marketing & Communications and Fund Development Support & Administration. This position plays a key role in advancing the organization’s visibility, engagement, and fundraising efforts by delivering timely digital communications while also providing essential administrative and donor‑focused support to the Fund Development team.

What You’ll Do Digital Marketing & Communications Responsibilities

  • Plan, create, and schedule daily digital content across organizational social media platforms, ensuring alignment with brand voice, messaging, and campaign objectives.

  • Monitor and respond to comments, direct messages, and online inquiries in a timely, professional, and brand-appropriate manner.

  • Develop and manage social media content, including copywriting, graphic design, video, and photography, to support campaigns, events, and organizational initiatives.

  • Design campaign creative and written content for digital and print materials, including posters, brochures, and other marketing collateral.

  • Respond to internal communication and marketing requests, supporting departments with promotional materials, messaging, and timelines.

  • Maintain and update the organization’s website using WordPress, including content updates and basic page edits.

  • Support email marketing initiatives, including content development, design, and distribution through Mailchimp.

  • Utilize platforms such as Adobe Creative Suite, Canva, and Hootsuite to create, manage, and schedule digital content and campaigns.

  • Provide marketing and communications support for third-party and external events, including digital promotion and coordination of marketing materials.

  • Produce and distribute supporting marketing collateral in both digital and print formats.

  • Apply strong technical skills to manage multiple tools and platforms, adapting quickly to changing priorities in a fast-paced environment.

Fund Development Support & Administration Responsibilities General Duties

  • Support the stewardship and relationship management of current and prospective donors.

  • Collaborate with the Manager, Fund Development & Donor Data Integrity to enhance the donor experience, recognition, and engagement.

  • Assist with the accurate processing of donations and ensure timely and appropriate acknowledgements.

  • Draft and prepare personalized thank-you letters and gift acknowledgements as required.

  • Identify and cultivate new opportunities for revenue and Gift-in-Kind donations through prospect research.

  • Coordinate Gift-in-Kind donation logistics, liaising with donors and working with relevant INN departments to ensure alignment with current organizational needs.

  • Manage general inquiries received through the INN’s donation phone line and inbox, redirecting donors as appropriate.

  • Maintain and update donor records with accuracy and attention to detail.

  • Provide administrative and logistical support for fundraising events and donor meetings.

  • Attend external events and represent the organization as a Brand Ambassador.
    Secondary Duties

  • Provide support to Development Associates during absences or when assistance is required with donor portfolios, monthly giving, corporate giving programs, or sponsorships.

  • Provide support to the Coordinator, Events & Donor Relations during absences or when additional assistance is required for events.

What You Bring to Our Mission

  • Diploma or Bachelor’s degree in Marketing, Digital Communications, Communications, or a related field.

  • Excellent written and verbal communication skills in English.

  • Demonstrated experience with WordPress, Mailchimp, Adobe Creative Suite, Canva, and Hootsuite.

  • Video production and photography skills.

  • Strong technical aptitude with the ability to learn new tools and systems quickly.

  • Proven ability to manage multiple priorities and meet deadlines in a fast‑paced environment.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Strong attention to detail with the ability to produce accurate, polished work.

  • Strong teamwork skills with the ability to collaborate effectively across teams.

  • Highly organized, dependable, and able to plan and complete work independently.
