Operations Administrator
About the role
Position: Operations Administrator
Reports to: Operations Manager Location: Duncan, BC (In-Office Position) Starting salary: $50,000/yr to $60,000/yr, bonuses, & benefits.
Mission
The Operations Administrator will be a part of the critical back-office processes that keep RBS running smoothly. This role ensures that billing, licensing, and procurement are executed accurately, consistently, and on time.
Key Responsibilities
Billing Management
Ensure invoices for managed services, projects, and T&M work are generated accurately and on schedule. Execute monthly billing cycle (“Billing Bible” process).
Procurement & Licensing
Process procurement request forms submitted via PSA (Ticketing System). Manage Microsoft CSP license changes (add/move/change/cancel) through ticketed workflows. Place orders with distributors/vendors, track delivery.
Governance & Documentation
Maintain updated SOPs for billing, licensing, and procurement. Ensure compliance with internal controls (dual approval on credits/adjustments).
Requirements
Education & Experience
Post-secondary education in Business Administration. 2+ years of experience in an administrative, billing, or procurement role is an asset. Familiarity with financial processes, including invoicing, accounts receivable, and reconciliation.
Operations & Technical Skills
The ability to manage and maintain accurate data across multiple systems (billing, licensing, procurement) is required. Understanding procurement processes (POs, vendor coordination, order tracking). Proficiency with Microsoft 365 apps (Excel, SharePoint, Teams). Experience working in PSA/ticketing systems or ERP platforms is an asset.
Core Competencies
High attention to detail with a strong focus on accuracy and consistency. Strong organizational and time management skills; ability to manage recurring deadlines. Ability to multi-task and prioritize competing operational demands.
