We’re seeking a dynamic Administrative Assistant to join our team in Calgary, Alberta for a 12-month termed opportunity. This key role reports directly to the Financial Controller.

Position Summary:
The Administrative Assistant is a key member of the team, providing day-to-day support for both the downtown Calgary office and the remote laboratory at the University of Calgary. This role plays a central part in maintaining efficient office and lab operations, ensuring that employees and leadership receive timely, accurate, and reliable administrative support. The successful candidate will bring strong organizational skills, attention to detail, and discretion in handling confidential information. The ability to manage competing priorities, meet deadlines, and adapt to evolving demands will be essential.
Key responsibilities:
- Liaise with building management to coordinate access cards, repairs, deliveries, waste removal, recycling, and security.
- Maintain a tidy, well-stocked, and welcoming office environment (kitchen, boardroom, lighting, bins, etc.).
- Manage office supplies, snacks, beverages, and equipment inventories.
- Coordinate mail, shipping, and freight requirements.
- Answer and direct phone calls, greet visitors, and support lobby coordination.
- Organize and prepare resources for meetings, including room bookings, meal orders, and technology checks.
- Support company events, conferences, and offsite meetings, including logistics such as AV, transportation, attendee communication, and catering.
- Assist the Executive Leadership Team (ELT) with expenses, invoicing, and travel arrangements.
- Assist with travel bookings and coordination for employees and ELT.
- Provide support to Marketing with sourcing, pricing, proofing, and printing of materials.
- Maintain inventories for IT equipment, furniture, and lab supplies.
Education and Work Experience :
- 3+ years of administrative or office management experience.
- Post-secondary diploma or certificate in Office Administration (or equivalent experience).
- Strong organizational and time management abilities.
- Excellent communication skills (in person, phone, and email).
- High attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Proficiency with Microsoft Office Suite and general office technology.
- Adaptability in a fast-paced and evolving work environment.
- Positive, proactive attitude, willingness to jump in
- Someone who enjoys a variety of tasks, problem solver
- Skilled in Microsoft Suite and generally tech-savvy
