About the program/department/team

TMU Libraries' Archives was established to help support the learning and teaching needs and facilitate the scholarly, research and creative activities (SRC) of the University community by acquiring, describing and preserving specialized original archival materials and fonds. The Archives also serves as the institutional memory of the University community and includes the official archival holdings from the University. The Archives describes, houses, preserves, and makes accessible a broad range of primary source materials which provide an administrative, academic, fiscal, legal, social, and cultural record of the University. In addition, it collects, preserves and describes other primary source archival materials related to SRC and teaching areas of the University.

The opportunity

Reporting to the Archivist, the Student Archival Outreach Assistant will work closely with the Project Archivist in implementing programming with student groups across campus, working to promote digital file management practices amongst student groups. This part-time contract position will focus on outreach, planning, and assisting with inquiries to bridge the Archives with student organizations and groups. This role includes conducting workshops, creating promotional materials, and assisting with inquiries from student organizations.

Responsibilities:

  • Outreach

    • Contact and maintain relationships with student groups across campus to promote the initiative
      • Understand and document the structure of their operations
      • Identify who would be interested in participating/contributing
    • Staff weekly reference desk shifts to assist with student groups questions
    • Staff student fairs, club days, and relevant campus events
    • Assist in creation of promotional materials such as blog posts and social media copy
    • Conduct outreach both in-person and online
  • Assistance

    • Assisting Project Archivist in creating and carrying out student workshops both in-person and online
    • Whenever necessary, advise students and student groups about file organization, archival transfer, and transition planning for student groups
      • Utilizing and promoting Project Archivist’s “cheat sheets” for records management and archival practices to be used by students and student groups
  • Documentation

    • Create documentation, such as workplans, tips, notes, meeting minutes, and maintain correspondence to ensure the continuity of the position and the project
    • Maintain a contact log of student groups reached, meetings held, and follow-up actions required
    • Track and report on engagement metrics (e.g., number of groups contacted, records received, inquiries received, etc.)

Qualifications

Minimum level of education and specialty/discipline preferred

  • Completion of an Undergraduate degree preferred.

Minimum number of years and type/area of experience preferred given minimum education requirement

  • Prior experience working with a student organization in a leadership capacity at TMU is ideal

Required skills and demonstrated knowledge

  • Strong communication skills
  • Ability to work independently and collaboratively
  • An interest in promotion and outreach
  • Passion for student history and student organizing at TMU
