The Indigenous Relations and Reconciliation portfolio at Okanagan College plays a crucial role in advancing the Indigenous Strategic Framework, supporting Indigenous learner success, and fostering Reconciliation initiatives. Under the direction of the Director of Indigenous Relations and Reconciliation (DIRR), the Indigenous OC Department Administrator is responsible for delivering comprehensive administrative and project management support across the Indigenous Services department. This role is essential in ensuring smooth operations of all Indigenous OC activities, from financial management to administrative supports. It includes performing a variety of research and analytical tasks and coordinating the reports for a variety of projects and initiatives. The Department Administrator is responsible for coordinating Indigenous Engagement plans and ensuring culturally informed practices.
Functions and Duties
Administrative and Director Support:

Provides and ensures appropriate administrative support to the Director and the unit.

Manages scheduling, coordinates meetings, takes minutes, and fulfills service requests to ensure smooth and efficient department operations.

Facilitates communication and assists with the collection, transcribing, analysis, and validation of data for internal and external collaborators.

Prepares confidential correspondence, contracts, letters, memos, agendas, and reports for the Director, Indigenous Engagement tables, and other internal and external parties.

Develops and maintains databases and spreadsheets as directed, supporting reporting and presentations by compiling data and resources.

Assists with recruitment, arranges, and participates in the interview and selection process of
staff for the Unit. Manages the onboarding and exit process for new and departing employees. Tracks and schedules for employee evaluations for the Director. -
Manages records for vacations, illnesses, professional development, and other absences.

Coordinates and supports Indigenous Engagement sessions, drafting reports, following up on directions & actions, collecting data, and ensuring outcomes remain current and culturally informed, anticipates needs.

Ensures department orientation, standard operating procedures, and policy manuals are current and compliant with culturally informed policy and practices

Assists in the creation and dissemination of webpage information, resources, and promotional materials.

Acts as a liaison for Indigenous OC activities, supporting communication, scheduling, and meeting coordination across the institution, as directed by DIRR, anticipates needs.
Financial & Operational Coordination:
-
Assists the Director with the preparation and development of the department’s budget and unit plan submissions in consultation with the Director and Financial Services. Tracks staff expenditures according to relevant budgets and informs the Director of trends and variances.

Issues requisitions to purchase with Web Requisition System; liaises with Purchasing to resolve problems. Receives and processes invoices, prepares financial documents for approval, consultant billings, and contractors’ monthly progress claims.

Reviews monthly procurement and credit card statements. Reviews employee travel and other expense claims for compliance with policies and funding parameters.
Performs other related duties similar in scope and complexity as required
Education and Experience
-
Completion of a relevant four-year degree, in Business Administration or Indigenous Administration or equivalent.

Minimum of four years’ related experience in an administrative role, preferably within a post-secondary or educational environment.
-
Preference will be given to applicants who self-identify as a person with Indigenous ancestry and demonstrate an understanding of the Indigenous learner experience and culturally informed practice.
Skills and Abilities

Advanced level skills in Microsoft Office, specifically Excel, OneNote, PPT, Word, and Outlook;

Experience in data management;

Strong ethical standards and familiarity with Provincial privacy legislation;
-
Proven project management skills and excellent organizational, budgeting and financial management skills
-
Knowledge of Okanagan College programs and systems and/or BC post-secondary education system;
-
Knowledge and internalized understanding of First Nations land-based protocols, social and educational issues, resources, and community.;
-
Understanding of the cultural diversity amongst Indigenous people in Canada and the College catchment area;
-
Ability to deal tactfully and diplomatically with internal and external contacts and partners.

Must possess excellent written and verbal communication skills, presentation, organizational and problem-solving abilities, including the ability to assess and adapt writing style to a variety of audiences;

Strong interpersonal, intercultural, and group communication skills including knowledge of culturally appropriate ways of working with local Indigenous groups;
-
Experience in event organizations, program promotion, and public speaking;
-
Ability to plan and think strategically about research projects and sustainability;
-
Excellent research skills with ability to synthesize data/information and develop/deliver findings and recommendations;
-
Demonstrated ability to manage time and resources with multiple priorities, including attention to detail, analytical skills, good judgment, initiative, and strong time management skills; and
-
Valid BC driver’s license
