Talent Acquisition Coordinator – Province of Quebec
Location: Brossard, QC
Job Summary
The Talent Acquisition Coordinator supports Talent Acquisition operations by executing tasks such as posting jobs, updating applicant tracking systems, coordinating interviews, assisting with employer branding, and generating reports. Working within established processes, the role ensures consistency and quality in deliverables. The coordinator independently handles recurring tasks, provides peer support, and escalates exceptions. The role requires foundational knowledge of recruitment systems and terminology, typically gained through a diploma or associate degree and 1–2 years of experience.
Key Responsibilities
Talent Acquisition Operations & Administration
- Post jobs to internal and external job boards as directed by the Talent Acquisition team.
- Support campus Talent Acquisition tracking, including practicum placements.
- Assist in updating regional Talent Acquisition trackers as needed.
- Assist with scheduling interviews, ensuring a smooth and timely candidate experience.
- Conduct reference checks as needed.
- Source candidates as directed by the Regional Talent Acquisition Manager.
- Maintain applicant tracking systems and generate standard reports and dashboards.
- Take meeting minutes during team meetings and distribute summaries.
- Plan virtual and in-person Talent Acquisition-related events as required.
Marketing & Employer Branding Support
- Use Canva to create visually engaging talent attraction social media posts.
- Share content with the marketing team for publishing.
- Coordinate with the marketing team on non-templated or custom job/event postings to ensure brand consistency.
Special Assignments & Team Collaboration
- Track grants, subsidies, bursaries, and employment programs as needed.
- Provide informal support to peers by sharing tools, tips, or best practices.
Decision-Making and Supervision
- Makes decisions on recurring, straightforward situations using established parameters.
- Resolves non-routine issues by applying documented procedures and basic troubleshooting.
- Escalates exceptions or situations outside of predefined criteria.
- Operates with limited supervision, independently handling routine tasks and seeking guidance for deviations from standard procedure.
Knowledge, Skills & Experience
- Possesses foundational knowledge of Talent Acquisition procedures, platforms (e.g., ATS), and terminology.
- Typically acquired through a diploma or associate degree and 1–2 years of relevant experience.
- Developing technical skills in systems and design tools (e.g., Canva), with hands-on experience supporting Talent Acquisition processes.
Communication & Collaboration
- Internal: Communicates regularly with peers, supervisors, and Talent Team
- Managers: Seeks clarification as needed; participates in team discussions.
- External: Responds to candidate inquiries and supports marketing communications.
