Position Summary:
The Event Manager is responsible for planning, organizing, and executing events from initial concept through to completion. This role oversees all aspects of event logistics, vendor coordination, client communication, budgeting, and on-site management to ensure successful and memorable events. The Event Manager must be a detail-oriented multitasker who thrives in a fast-paced environment, capable of managing timelines, negotiating contracts, and delivering exceptional guest experiences. Evening, weekend, and holiday availability is required to support events during peak periods. The primary location will be the Saint John Trade & Convention Centre with added responsibilities at TD Station when required.
This role pays an annual salary of $45,000-$55,000 CAD

This position will remain open until November 14, 2025.
Responsibilities:
Pre-Event Planning
- Liaise with clients to gather event objectives, program schedules, and technical requirements.
- Develop detailed event timelines and Banquet Event Orders (BEOs).
- Coordinate all event logistics including registration flow, breakout rooms, exhibitor areas, catering, and speaker requirements.
- Work directly with third-party vendors such as audiovisual, décor, and signage providers.
- Prepare cost estimates, payment schedules, and contracts as required.
- Communicate event details to all relevant departments and prepare internal event data sheets for facility staff.
- Collect and manage client-provided insurance documentation.
- Perform other related duties as assigned.
Client & Stakeholder Communication
- Serve as the primary point of contact for clients, speakers, sponsors, exhibitors, and vendors.
- Facilitate regular planning meetings and distribute updated documentation.
- Provide expert guidance on best practices for event flow, scheduling, and guest experience.
- Perform other related duties as assigned.
Onsite Event Management
- Oversee on-site setup and execution of all event components including plenary sessions, breakout rooms, exhibitor booths, registration, and networking activities.
- Act as the point of escalation for last-minute changes or issues.
- Monitor event flow to ensure timelines and service expectations are met.
- Demonstrate continuous effort to improve operations, streamline processes, and enhance client satisfaction.
- Perform other related duties as assigned.
Post-Event Management
- Coordinate event financial reconciliation with the Finance Department.
- Collect final payments from clients.
- Conduct post-event client meetings to review performance and feedback.
- Distribute surveys to attendees, vendors, and partners to gather insights and testimonials.
- Document lessons learned, challenges encountered, and opportunities for improvement or recurring events.
- Perform other related duties as assigned.
PHYSICAL DEMANDS
- While performing the duties of this job, the employee is regularly required to stand, walk, sit, use hands to handle or feel, reach with arms, speak, and listen. The role occasionally requires lifting or moving up to 50 pounds. Specific vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
ACCOUNTABILITIES
- Coordinates, organizes, and supervises events to ensure all client needs and expectations are met, resulting in optimal customer satisfaction.
AUTHORITY
- Acts within the scope of event contracts, vendor/supplier agreements, event budgets, and building regulations.
Qualifications:
- Minimum of three (3) years of progressively responsible experience in event management or coordination, preferably in a convention center, sports facility, performing arts venue, or other multi-purpose public assembly facility.
- Bachelor's degree in Event Management, Hospitality, or a related field from an accredited institution preferred.
- Additional relevant experience may be considered in lieu of formal education.
- Flexibility to work evenings, weekends, and holidays as required.
- Ability to perform under pressure in a dynamic, fast-paced environment.
- Strong interpersonal and communication skills.
- Familiarity with terminology and processes used in convention and entertainment settings.
- Fast learner with proven ability to quickly adopt and utilize digital platforms
