Position Title: Assistant, Human Resources – Canada Summer Jobs
Location: YMCA BC (620 Royal Ave #10, New Westminster, BC V3M 1J2)
Term: Temporary, Full-Time
Hours: 35 hours per week
Start Date: As soon as possible
End Date: August 31, 2026
Salary: $20.00 per hour
Reports To: Director, Talent Acquisition
This position is funded by the Canada Summer Jobs Grant.

Nature & Scope
The HR Administrative Assistant will be responsible for supporting all administrative tasks related to high volume recruitment including but not limited to, offer letters, references, background checks, file composition and HRIS onboarding. This role will work alongside our Talent Acquisition and people services team, while building strong relationships with other departments including payroll, risk and Health & Safety.
Major Responsibilities**-** in this position, you will**:**
- Filing a high volume of various documents into employee files
- Answer general phone inquiries and monitor the HR email account to direct emails as needed
- Update and maintain secure confidential personnel files for employee
- Call and complete reference checks for potential job applicants
- Collect, compile, and follow up with applicants to complete hiring packages
- Enter job applicant information into ADP to start their hire process
- Submit applications for Criminal Records Checks online to the Ministry of Justice
- Sign up applicants for the YMCA’s learning lab online courses, and troubleshoot any questions
- Promote job postings by placing postings on external job boards
- Contact job applicants for screening purposes and to arrange interviews
- Provide excellent customer service to all internal and external stakeholders
- Provide reception coverage at Royal Avenue reception desk as scheduled
- Ensure adherence to all YMCA policies and procedures, collective agreements and relevant federal and provincial legislation
Qualification**-you bring:**
- High School diploma required
- 1-2 years administrative experience in an office settings preferred
- Excellent oral and written communication skills
- Strong organizational and interpersonal skills
- Strong attention to detail
- Excellent computer skills, including ability to use Microsoft Word/Excel/PowerPoint, Outlook, and related products (eg: SharePoint, Calendar), and internet.
- Experience/knowledge in principles of human resources an asset
- Non-profit and/or recruitment experience an asset
- Successful candidate will be required to provide 3 satisfactory references
- Successful candidates will be required to provide a current and satisfactory Criminal Record check with a Vulnerable sector search issued no later than six (6) months preceding the start date.
Canada Summer Jobs Criteria:
- Be between 19 and 30 years of age at the start of employment.
- Be a Canadian citizen, permanent resident, or person who has been granted refugee status in Canada under the Immigration and Refugee Protection Act.
- Be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations. International participants are not eligible. Recent immigrants are eligible if they are Canadian citizens or permanent residents.
