Job Title: Facilities Asset Management Coordinator
Reports to: Manager, Facilities Performance
Type: Permanent, Full-Time

The Opportunity
Reporting to the Manager, Facility Performance, the Facilities Asset Management Coordinator supports the implementation and continuous advancement of the YWG Asset and Maintenance Management plan. This position will coordinate preventative maintenance and assist in developing asset management systems, managing fleet assets, planning regular maintenance, and overseeing the life cycle of mechanical, electrical, structural, and civil infrastructure systems.
The Facilities Asset Management Coordinator will collaborate with (AOC) Airport Operations Center, to manage, prioritize, and assign work orders to appropriate facilities staff, and be responsible for planning, and scheduling of job assignments for trade. The Facilities Asset Management Coordinator collaborates with Airfield Team, to ensure all work orders are addressed in a timely fashion. The Facilities Asset Management Coordinator maintains, and updates the CMMS (Maximo) as required, provides support, and trains all trade staff on its use, reporting and updates.
Responsibilities include:
- Maintain and update the CMMS applications, including asset registry, inventory, asset hierarchy, work plans, preventative work order plans, and work orders
- Facilitate smooth project transitions to Operations, Maintenance, and Information Technology by assisting with, data transfer and the update of maintenance plans
- Create preventative maintenance (PM) work order plans, job plan sequencing, PM forecasting, and condition monitoring points for assets, including failure reporting
- Ensure PM development includes comprehensive job plans, work plans, safe work procedures, job hazard assessments, safety plans with required PPE, parts, equipment history, and references to equipment records
- Report on life cycle costing and long-term asset management strategies.
- Assist in evaluating and development both short- and long-term asset renewal plans
- Assess and monitor the data quality entered by the facilities team to ensure ongoing compliance
- Act as a system advocate, providing training and support in the effective input of Maximo work records
- Support the manager with administration, preventative and reactive maintenance coordinator, coordination of demand maintenance requests, records, and assignments to facilities team
- Verify in CMMS the completion of scheduled mandatory and regulated inspections, safety checks, and tests and include this in regular performance reports
- Compare plans with current requirements to ensure alignment with operational demands and industry best practices
- Adjust the tasks as required in the CMMS to align with the updated annual PPM, approved 5-year capital plan and as instructed by Manager
- Report on staff demands required in schedule to perform PPM tasks, report on parts and advance material order needs to support scheduled PM activities
- Maintain Operational and Maintenance Manuals, Warranty documentation, product literature, shop drawings, construction drawings and base plans
- Provide regular reporting to the Supervisor and Management team on maintenance, planning, and performance monitoring.
- Track and submit all necessary regulatory documentation.
Selection Criteria include:
- Certification in IBM Maximo Asset Management – System Administration and Development Certificate or proven knowledge of Asset Management and facilities maintenance concepts and practices
- Minimum three (3) years experience working with CMMS – Maximo is required with experience in Facilities work planning, maintenance coordination, preventive work planning and reporting.
- Experience in Document Management and record keeping
- Proficient with Microsoft Office Suite Programs – Outlook, Word, Excel, SharePoint, and Adobe
- Excellent time management, interpersonal, customer service and communication skills, both verbal and written
- Self motivated to work independently and within a team in a fast paced and constantly changing environment
- Proven ability to improve processes and increase efficiency
- Experience with Work Order Management to generate, process, and complete work orders
