Role description:
Arcadis is seeking a Project Admin to provide comprehensive administrative and operational support to project teams, ensuring smooth execution of project activities and office functions. This role requires a proactive, detail-oriented individual with strong communication and organizational skills, capable of working independently and managing multiple priorities in a dynamic environment.
Role accountabilities:
In this role, you will assist project managers and team members by preparing documents, generating reports, entering data, and managing correspondence to ensure smooth project execution. You will coordinate meetings, appointments, and travel arrangements for project staff and stakeholders while maintaining project files, records, and databases. Additionally, you will manage incoming and outgoing project correspondence, emails, and calls, support procurement activities such as purchase orders and vendor coordination, and track and input proposal and contractual documents into CRM systems and project sites.
You will also provide administrative support to the Architectural Principal, including preparing and following up on proposals, contracts, fee letters, and presentations. In this role, you will handle email prioritization, filing, and redirection, screen calls, and redirect inquiries appropriately. You will arrange virtual meetings, maintain project and contact lists, submit expense reports and timesheets, and organize project events, team-building activities, and office functions to support efficient operations.
In addition, you will administer administrative programs and policies, prepare complex written reports and visual aids such as charts, graphs, and diagrams, and resolve day-to-day operational issues in areas such as HR, Finance, and IT. You will contribute to budgetary planning and performance optimization while monitoring and improving business processes within your area of specialization. Ensuring compliance with legal and regulatory controls and internal policies will be a key aspect of this role, along with providing procedural advice to internal clients to maintain standards and support operational excellence.
Qualifications & Experience:
Technical & Administrative Skills:
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Intermediate financial skills (budget tracking, invoice processing)
- Basic supervisory skills (team coordination and delegation)
- Strong written and verbal communication abilities
- Developed problem-solving and critical thinking skills
- Ability to lift/move up to 50 lbs (e.g., boxes of paper)
Interpersonal & Organizational Skills:
- Intermediate interpersonal and organizational capabilities
- High level of discretion and confidentiality
- Ability to manage rapidly changing priorities and meet tight deadlines
- Detail-oriented, dependable, and proactive
- Capable of working with minimal supervision

The salary range for this position is $66,000 - $82,000. The base salary represents Arcadis’ hiring range for this position. Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualification for the role.
