Starting Rate: $57,887 annually
Salary Range: $57,887 - $67,720 annually
Hours of Work: 37.5 hours per week
Classification: Non-Union Class 3
Status: Permanent Full-Time

The Opportunity:
The Executive Administrative Support Clerk provides confidential administrative support to the
Office of the Chief Administrative Officer (CAO) and District Chair including the Regional
Strategic Initiatives (RSI), Continuous Improvement Unit (CIU), and Communications divisions.
In collaboration with the Executive Office Manager, plans and organizes meetings and events
for internal and external stakeholders, prepares correspondence, and handles sensitive
information with discretion.
What you will do:
• Provides administrative support to departmental staff including but not limited to conducting
research and gathering information, preparing correspondence, data entry, filing,
photocopying, and general office procedures.
- Provides administrative support for assigned special projects, corporate planning activities,
task forces and committees.
- Support the CAO (and on occasion DSLT) with coordination of off-site meetings, agencies
/board meetings, and/or CAO townhall-type meetings, which could include coordinating
venues, presentations and speakers, compiling feedback, and following up on action items.
- Schedule appointments, arrange internal and/or public meetings/events, book facilities,
welcome and register guests, organize the delivery of presentation equipment, prepare
necessary documentation, provide for catering and inform participants of arrangements.
- Prepare meeting agendas, take minutes, and track action items as required.
- Develop and maintain departmental files and record keeping systems including electronic
files, scanning, records retention of financial, personnel and other confidential or sensitive
files.
- Communicate and act as a liaison with other District departments, members of Council,
members of other Committees, provincial and federal ministries, and other agencies and
related organizations.
- Participate in corporate special projects and events, such as development of strategic
priorities, media events, ministry delegations, conferences, and workshops.
- Provide back-up support to the Executive Office Manager and Corporate departmental
Administrative Assistants, as required.

Other related duties as assigned.
What you will need:
• Graduation from a 2-year community college, or equivalent, in Office Administration,
Business, Public Administration, Communications, or other related program.
- Two to three years of progressively responsible related experience.
- Exceptional interpersonal / customer service skills, including tact, diplomacy, and
confidentiality.
- Superior organizational skills and a demonstrated high level of accuracy, speed, and
attention to detail.
- Advanced technological proficiency and highly developed written and oral communication
skills.
- Ability to deal effectively and diplomatically with the public, community partners, staff, senior
officials and municipal, provincial and federal politicians.
- Advanced proficiency in, Adobe, web-based applications and Microsoft 365 including
SharePoint.
