Job Summary

The B2B Operations and Administration Executive is the dedicated custodian of Noble Education Group’s partner agent channel, responsible for managing the entire lifecycle of every client file submitted by our recruitment agents. Acting as the operational bridge between agents, partner colleges, and internal teams, this role owns each file from initial profile assessment through college application, LOA issuance, tuition fee payment, PAL processing, and final visa application. The focus is on providing agents with fast, accurate program options for their clients, driving files forward through persistent and professional follow-up, and maintaining meticulous documentation in the CRM at every stage. Success in this role is defined by “first-time right” applications, zero stalled files, and a partner experience so seamless that agents consistently choose Noble Education Group as their preferred submission channel.

Key Responsibilities

  1. Profile Assessment: Review and assess client documents shared by partner agents, evaluating academic history, financial capacity, and eligibility to determine the most suitable pathway for each applicant.
  2. Program Options & Recommendations: Prepare and share accurate college and program options with agents based on their clients’ profiles, including intake availability, admission requirements, and tuition details, to enable fast decision-making.
  3. College Application Processing: Prepare and submit complete, error-free applications to partner colleges, ensuring every file is audited for “first-time right” submission to prevent rejections and delays.
  4. Agent Communication: Serve as the primary operational point of contact for partner agents regarding their clients’ files, providing timely updates and resolving queries through formal, professional email communication.
  5. Pending Document Follow-up: Proactively follow up with agents for pending or missing client documents, ensuring no file remains “stalled” at any stage of the admissions pipeline.
  6. Fee Payment Coordination: Follow up with agents for tuition fee payments immediately after LOA (Letter of Acceptance) issuance, coordinating with the Collections team to confirm realization and keep files moving toward enrollment.
  7. Visa Application Coordination: Initiate and coordinate the visa application process once fee payment is confirmed and the PAL (Provincial Attestation Letter) is issued, ensuring all documentation is complete and deadlines are met.
  8. College Follow-up: Liaise directly with partner colleges to track application statuses, expedite LOA issuance, resolve document queries, and manage deferrals or intake changes as required.
  9. CRM Documentation: Maintain thorough, up-to-date records and detailed notes on the CRM for every client file, ensuring the true status of each application is visible to internal teams at all times.
  10. Reporting & Escalation: Prepare regular status reports on the B2B pipeline, flagging high-risk or delayed files to management for timely resolution before deadlines are missed.

Qualifications

  • Education: Bachelor’s degree or Diploma in Business Administration, Communications, or a related field (or equivalent professional experience in the international education sector).
  • Experience: Minimum of 2–3 years in an admissions, operations, or agent-facing administrative role, preferably within the Canadian international education industry or a high-volume recruitment agency.
  • Admissions Expertise: Strong working knowledge of the Canadian education system, including intake cycles, institutional admission requirements, LOA and PAL processes, and basic IRCC documentation standards.
  • Written Communication: Exceptional formal email writing skills, with a proven ability to communicate professionally with B2B partners and institutional contacts.
  • CRM Proficiency: Demonstrated experience maintaining detailed, accurate records and case notes in CRM systems while managing a high volume of active files simultaneously.
  • Document Control: Proven experience in document assessment and auditing, ensuring files meet strict institutional and compliance standards before submission.
