Type: Fulltime, Permanent

Location: Langley, BC

Work Schedule: Monday-Friday

Position Overview

Velocity Truck Rental and Leasing has an exciting opening for a Service and Parts Coordinator based out of Langley, BC. The Service and Parts Coordinator is a hybrid role which is responsible for coordinating and supporting daily operations, including service dispatch, service advising, and parts administration.

Compensation Plan

Duties and Responsibilities

Service Advisory Responsibilities

  • Ascertain vehicle problems and services by listening to customer's description of symptoms.
  • Conduct inspections and proactively checks for recalls.
  • Submit documentation for warranty repair orders.
  • Retrieve mileage and vin numbers from vehicle, check vehicle maintenance records, examine service schedules.
  • Maintain customer rapport by providing explanation of estimates and daily updates.
  • Establish good customer relations by providing estimates and timelines.
  • Verify warranty and service contract coverage by examining records and papers.
  • Explain provisions and exclusions.
  • Prepare repair orders (RO).
  • Enter RO into service database system and sends to Estimator and/or Service Manager.
  • Monitor repair work to ensure vehicle will be ready when promised.
  • Print warranty and repair orders, issue sublet purchase order numbers.

Dispatcher Responsibilities

  • Schedule and dispatch technicians based on availability, skill level, and workload.
  • Monitor job progress and reassign work as needed to meet deadlines and customer expectations.
  • Serve as the central communication point between customers and technicians.
  • Review and assign incoming work orders and ensure all required information is gathered.
  • Update customers and internal teams with job status and estimated completion times.
  • Track technician productivity and communicate any issues to the Service Manager.
  • Assist with opening and closing work orders in the system, ensuring accuracy.
  • Maintain organized records of dispatch activities and technician assignments.
  • Communicate delays or urgent jobs to the appropriate parties promptly.

Parts Administration Responsibilities

  • Posts invoices to inventory control.

  • Ordering Parts - Generates, maintains and monitors parts orders.

  • Generates, maintains and monitors cash schedule and inter branch cash schedule.

  • Submits parts tickets for pricing, status and lead time.

  • Generates invoices.

  • Returns all excess parts. Monitors that tracks credit for returned excess parts.

Skills & Qualifications

  • Previous experience in dispatching, customer service, or service coordination (automotive or heavy-duty industry preferred).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities
  • Ability to work under pressure and manage multiple priorities at once.
  • Proficient with computer systems and dispatching tools.
  • Knowledge of heavy-duty truck repairs or shop operations is an asset.
  • High school diploma or equivalent; post-secondary education is an asset.
