About this Opportunity

UVic Staffing Solutions (USS) is our in-house temp agency, providing casual administrative and project support to UVic departments. Casual positions/assignments are based on operational needs. Our program then matches candidates who align with the assignment based on the needs of the department, availability and qualifications of the candidates.

This posting is for candidates interested in joining our pre-qualified pool of eligible candidates for short-term, casual assignments (normally 21 days or less) at the University of Victoria through UVic Staffing Solutions.

Please indicate your availability in your application as assignments vary from Monday to Friday between 8:30 am and 4:30 pm.

Hourly rates range from $26.07 to $35.43 depending on the individual assignment plus 4% in lieu of vacation.

Job Summary

Each assignment is slightly different, it depends on the department needs. Casual/temporary assignments typically involve administrative support. You will be responsible for ensuring accurate and timely delivery of a full range of administrative services which may include:

  • Handling confidential and sensitive materials
  • Supporting leaders with administrative requests
  • Proofreading/editing documents
  • Correspondences
  • Managing calendars
  • Reception duties
  • Project support
  • Committee support

Job Requirements

Experience:
This position requires a level of education, training, and experience equivalent to Secondary school graduation and 6 months of recent experience working within a comparable environment for example in a business or administrative setting.

Knowledge/Skills/Abilities:

  • Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment.
  • Ability to prioritize and manage time/tasks with attention to detail in an environment with frequent interruptions and often emergent deadlines.
  • Ability to problem solve by using judgement, independent thinking and/or analysis.
  • Ability to interpret policies and procedures.
  • Ability to communicate effectively with individuals from diverse backgrounds and tailor communication style for different audiences and situations.
  • Experience composing various business communications such as emails, memos, and reports.
  • Experience scheduling meetings and calendar coordination.
  • Experience in maintaining confidential and sensitive information.
  • Experience with pre-planning and recording meetings.
  • Excellent customer service skills with the ability to handle incoming requests in accordance with departmental service standards.
  • Demonstrated ability to adapt to changing office environments.
  • Experience and proficiency using relevant office technology including MS Office (Word, Excel, PowerPoint) and electronic calendaring (Outlook) databases, and content management systems.
