Responsibilities GENERAL OBJECTIVES:

The Training Assistant is responsible for providing administrative and clerical support to the Training Department, coordinating the Training Department content deliverables and supporting the Manager and advisory staff by analyzing, monitoring and tracking the training records.

Major Responsibilities

  • Provides administrative support to the Training department by:

Coordinating training for BCRTC.

Organizing training schedules, sending invites, assembling and preparing training materials, booking rooms and assisting with training preparation.

Arranging and confirming participation with internal and external course presenters.

producing contractor ID cards.

Handling registration queries and answering stakeholders’ questions, as and when needed.

Assisting in coordination of the learning management system (LMS) and its administrative requirements, as and when needed.

Coordinating purchase requisitions and assisting in tracking budget costs.

Ordering and maintaining training and office supplies.

Participating in departmental meetings and supporting departmental training committees for related services, when required.

  • Coordinates and supports the Training department by:

Acting as the first point of contact for training services offered by BCRTC and providing information on the nature of programs and services.

Managing user-facing communications.

Assisting with the provision of class lists and course evaluations for training sessions, as required.

Managing training requests in alignment with organizational policies and processes.

researching, coordinating, executing and administering external training requests.

  • Monitors and tracks training records by:

Updating and maintaining training records to ensure data integrity and building training reports at the request of the Manager and advisory staff.

Maintaining monthly training summary for further analyses.

  • Supports the Manager, advisory staff, instructors and business partners’ efforts in support of training needs by:

assisting in the development of the annual Training Calendar, as well as creating other relevant calendars, such as the annual New Hire Orientation Calendar and the Contractor Safety Orientation Calendar.

  • Maintains training files, which include training class attendance sheets and course evaluations.
  • Develops and maintains relationships with all levels of staff across the organization in order to support the coordination and administration of training activities.
  • Performs other related duties as assigned, such being items of a minor nature which do not affect the value of the job.

Education Qualifications Completion of a diploma in adult education, organizational development or a related discipline.

Experience Up to 36 months (3 years) of work experience in handling wide range of support and administration activities related to training deliverables. Plus 2 months on the job to learn the office procedures and interact with the staff to become familiar with the training procedures and guidelines, data analyses and statistical procedures.

Other Information Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

Work Schedule 40 hours per week.

Work Designation Resident

This position works predominately on-site

Rate of Pay Wage: $40.84 per hour

Please note: All new employees will be subject to a 6-week trainee rate at 75% of the hourly rate.
