Position Summary: The Academic Upgrading Program Operations and Database Coordinator principally supports the programs within Academic Upgrading and Community Initiatives and key programs within the School of Work and College Preparation and in the Faculty of Community Services & Interdisciplinary Studies (FCSIS) on a project-to-project basis. The role coordinates and leads program operation and outreach, data management and visualization. Within the Polytechnic, the role liaises with the Academic Upgrading Management and Support, Intake and Faculty Coordinators, Entry Advising and College Student Success, Admissions, Strategic Enrollment Management, Marketing and Academic Excellence, gathering and providing analytical support and visualization for program outreach, CRM, and inbound/outbound intake operations. Key Responsibilities: Work with the Manager and Associate Dean to create SWFs for AU/DAUP full-time faculty, and liaise with the Manager, Administrator, and Coordinators to create and post classroom and delivery schedules. Complete program expenditure reports for NFT faculty and support staff, support budget planning with the Divisional Budget Officer and Program Manager and generate contracts and payments for non-full-time faculty and support staff. Update and verify course set-up and teaching assignments, and liaise with Finance, Human Resources, Registrar, Student Services, and other departments to support program operations, scheduling, registration, and contract-related matters. Provide front-line support for staff, Ministry, and student inquiries; coordinate student communications and registrations; maintain student records; respond to EOIS CaMS inquiries; generate reports, insights, and recommendations from student and program data. Provide learner support using a trauma-informed, learner-centred approach, applying active listening, de-escalation, and problem-solving skills to assist learners from diverse educational, cultural, and socioeconomic backgrounds in overcoming barriers to success. Uses program databases, Mail Chimp, College CRM, and Banner Student Information System to track student profiles and transitions, and develops query-based frameworks for data capture, visualization, and analysis of student persistence, retention, time in program, feedback, and trends. Prepares and presents recommendations, insights, and trend reports to internal and external audiences, and liaises with program staff to support the ongoing collection and management of program data across functional areas. Other duties as assigned. Educational and Experience Requirements: Three-year diploma, degree, or equivalent from a recognized post-secondary institute in Education or Arts. Data Visualization Certification (offered by Cornell, Coursera and other public and private institutions) is required. Emphasis on data analysis, visualization, integration with CRMs and visualization applications. Minimum of five (5) years’ experience working in education, or related fields supporting external promotion, communication, customer service, data processes, research, analytics, business intelligence, leading operational process mapping and process implementation. Demonstrated experience supporting learners or clients from diverse educational, cultural, and socioeconomic backgrounds through complex situations requiring sound judgement, active listening, conflict resolution, and effective problem-solving. Experience in leadership/supervision. Data analyzing, visualization, and presentation experience using Tableau, Access, Visio, Pardot or related software is preferred. Data and trend research experience using Power BI or other related software is preferred. Database creation and maintenance experience are preferred. CRM customization experience with Student Information System (Banner) using Salesforce, Dynamics 365, Pardot or related software is preferred. Skills and Attributes: Data analysis, system analysis, research, presentation, and project management skills. Ability to provide support using a trauma-informed, learner-centred approach. Strong interpersonal skills, including the ability to build collaborative relationships, navigate sensitive situations using empathy and sound judgement, and communicate effectively with learners, faculty, staff, and community partners. Ability to work collaboratively in a fast-paced environment, manage competing priorities, and coordinate activities across multiple programs while maintaining a high level of professionalism and attention to detail.
