Position: Purchasing Coordinator
Reports to: Controller

OurScience for Allstrategy is to revitalize Science World with a substantial capital plan to replace critical infrastructure, enhance the visitor experience and develop new content across all our channels under the themes of Regeneration of the Planet, Human Health, and Inclusion. Our plan is to ensure that people throughout British Columbia, especially under-represented communities, have access to high quality, informal STEAM learning. Through our onsite, online and outreach programs, Science World seeks to spark curiosity and wonder in STEAM and support development of talent across communities in the province.

Position Description: The Purchasing Coordinator, reporting to the Controller, is responsible for maintaining the coordination and administration of purchasing and logistics activities for Science World. This role encompasses purchasing a wide range of goods and services, the administration of purchase orders, coordinating logistics and delivery activities, in addition to, establishing and maintaining relationships with suppliers. Moreover, the Purchasing Coordinator will provide financial and administrative support to the finance team.
The Purchasing Coordinator is flexible, confident, self-motivated and understands basic accounting principles. With superb organizational and time management skills, the Purchasing Coordinator will thrive in a dynamic team-based environment and manage multiple priorities with ease.
As a facility, Science World is generally open to the public seven days a week, with some extended evening hours in the summer months. Typical office hours are Monday to Friday 8:00am – 5:30pm, with front-facing and operational teams also working a variety of shifts including weekends, holidays, and evenings. Hours of work and other related requirements will be scheduled according to business needs, and this may include special events on evenings, weekends and holidays.
Responsibilities: Purchasing and Logistics
- Work with all departments to support their purchasing and logistics needs, including arranging travel and obtaining quotes.
- Streamline purchasing processes and vendor agreements to achieve cost savings and efficiencies.
- Establish and manage key supplier relationships to maintain quality of goods, ensure timely delivery and compliance to P.O. terms, manage contract pricing and perform supplier evaluations and feedback.
- Manage vendor profiles according to purchasing agreements.
- Create and track purchase orders in system ensuring accuracy and compliance with purchasing agreements and company policies.
- Update or assist with the preparation and development of contracts and agreements.
- Manage subscriptions and licenses.
- Manage corporate credit card purchases and monthly statement reconciliation.
- Address and resolve purchasing issues such as delays, incorrect shipments, pricing or quality concerns through effective supplier communication.
- Verify and reconcile invoices by ensuring consistency between purchase orders, receipts and supplier billing.
- Primary liaison for import and export brokerage.
- Assist in shipping/receiving function and perform purchasing requests offsite as necessary.
- Oversee purchasing of office supplies and equipment.
Finance and Admin
- Assist the AP coordinator with managing payments and other data entry duties as required.
- Provide support with budget planning and expense tracking as needed.
- Provide support with bank reconciliations as needed.
- Assist with attendance reporting and support Accounts Receivable.
- Fulfill external donation requests and prepare donation packages.
- Digital filing of contracts and agreements.
- Support on-going initiatives and special projects.
- Operate within the philosophy, culture and values of Science World
- Perform other related duties as required to fulfill any changing business needs of this role.
Qualifications:

Post secondary education.

A minimum of 3 years of work experience in a purchasing role.

Basic knowledge and understanding of accounting is preferred.

Experience with Microsoft Office products is required, Intermediate Excel skills.

Knowledge of cross-border customs, duties, brokerage is preferred.

Knowledge of PST, GST is preferred.

Excellent analytical abilities, logical decision-making and problem-solving skills.

Strong ability to multi-task and deliver results within defined deadlines.

Strong attention to detail.
-
Demonstrated initiative and flexibility.
-
Able to work effectively with colleagues at all levels of the organization.
-
Analytical mindset, ability to multitask, and manage multiple projects.
-
Excellent negotiation and communication skills to coordinate with vendors and various departments.
-
Effective customer service, interpersonal and communication skills, both verbal and written.
-
This position requires some physical activity and the ability to safely lift up to 12kg.
Important Availability Commitment:
This position requires working Monday through Friday, 40 hours per week. There may be some overtime requirements during peak periods, such as month-end, year-end or audit.
- This will be an approximate 7-week coverage.
This is a unionized position represented by CUPE 1004. The compensation rate is $27.43/hour
