THE OPPORTUNITY
This role offers the opportunity to lead quality, safety, and continuous improvement activities across all departments while ensuring compliance is achieved in a way that genuinely supports operations. The Quality, Safety & Continuous Improvement Specialist will work closely with all teams to design practical, user-friendly, and technology-enabled solutions that balance regulatory requirements with real-world execution, driving meaningful improvement beyond compliance.
This role requires a modern, forward-thinking approach to quality and safety - designing compliance systems that are usable, efficient, and embedded into operations.
The ideal candidate is detail-oriented, collaborative and confident working with staff, supervisors, managers and leadership to identify risks, improve processes, and ensure compliance with applicable legislation and company standards.

CORE RESPONSIBILITIES
Quality Management System & Governance – 25%
System Maintenance & Governance
- Maintain and oversee the ISO 9001 & CEIV-Pharma management systems.
- Ensure continued alignment with certification standards and regulatory requirements.
- Act as system owner, ensuring processes remain effective and current.
- Monitor system performance and identify improvement opportunities.
Internal/External Audits & Certification Program
- Develop, maintain and lead the annual internal audit plan.
- Prepare audit schedules, documentation, and evidence.
- Act as the primary point of contact for external auditors (ISO, CEIV, customers, and regulators).
- Prepare internal audit program and lead internal audits across departments (process, compliance, documentation).
- Coordinate audit schedules with department managers and provide support during interviews.
- Manage the Non-Conformities (NC) program by reviewing and tracking open NCs, ensuring accurate and effective root cause analysis, and supporting teams in resolving NCs as needed.
- Track and close external audit findings, and follow up on corrective and preventative actions (CAPAs).
- Oversee corrective actions by tracking open items, ensuring root causes are addressed, and supporting teams to close actions effectively.
Compliance & Data Integrity

Ensure data accuracy and completeness in:
- DATS/CEIV systems
- Training records
- KPIs and compliance metrics

Manage document control by maintaining the master data list and ensuring documents are current, accurate, and properly controlled.
Health & Safety Management System – 25%
System Maintenance
- Maintain the ISO 145001 Health & Safety Management System in collaboration with department managers.
- Ensure safety programs, policies, and procedures remain current.
- Monitor compliance with legal and regulatory safety requirements.
Safety Programs & Monitoring
- Oversee existing safety programs (not designed from scratch).
- Track:
- Incident reports
- Near misses
- Safety observations
- Ensure investigations and corrective actions are completed.
Audits & Inspections

Conduct internal safety audits and workplace inspections.

Support external safety audits or regulatory inspections.

Training & Awareness
- Ensure safety training records are accurate and up to date.
- Support managers with safety communication and awareness initiatives.
Management Support
- Advise managers on safety responsibilities and compliance expectations.
- Support risk assessments, job safety analyses, and mitigation actions.
Company Documentation & Process Support – 50%
Documentation Development
- Understand company operational processes and lead the creation and maintenance of:
- Company policies
- SOPs
- Work instructions
- Process maps
- Ensure documentation aligns with actual operational practices.
Document Control
- Maintain and enforce the Document Control structure.
- Ensure:
- Version control
- Approval workflows
- Controlled access
- Archiving of obsolete documents
Process Understanding & Engagement
- Work closely with departmental teams to:
- Understand existing processes
- Capture tribal knowledge
- Translate operations into clear documentation
- Facilitate workshops or interviews to document workflows.
Process Optimization – Continuous Improvement
- Drive continual improvement of company operational processes by identifying opportunities and leading enhancements.
- Identify inefficiencies, duplication, or gaps in documented processes.
- Recommend practical improvements aligned with business needs.
- Ensure changes are appropriately documented and communicated.
QUALIFICATIONS
- Diploma or Certificate in OH&S, Quality Management, or a related field preferred.
- NCSO Certification preferred.
- Minimum3yearsof experience in safety, quality, or compliance with a role within logistics, transportation or warehousing preferred.
- Working knowledge of OH&S legislation and best practices.
- Proficient in MS Office Suite.
- Experience conducting inspections, investigations and audits is an asset.
- Strong written, verbal, and presentation skills.
- Ability to influence and engage employees at all levels.
- Confident, professional and approachable communication style.
- Organized and can manage multiple priorities.
- Comfortable working independently and collaboratively.
- Solution-focused mindset with a commitment to continuous improvement.
