Crewing Coordinator(s) (Excluded Position) based in Wood Islands, PE or Caribou, NS
Northumberland Ferries Limited regional leader in the passenger transportation industry, is seeking an experienced Crewing Coordinator(s) (Excluded Position) to join our team.
Position Overview
The Crewing Coordinator plays a key role in supporting safe, compliant, and efficient vessel and terminal operations through workforce coordination, certification tracking, scheduling, and payroll reconciliation.
Reporting functionally to the Director, People & Culture and operationally to the Terminal Manager, this position provides administrative and operational coordination in support of crewing, labour-relations documentation, and financial processes. The role requires discretion, strong attention to detail, and the ability to work effectively within a unionized operating environment while supporting management decision-making.
Key Responsibilities
- Assist with the development and coordination of employee work schedules in alignment with company seniority lists, qualifications, certificates of competency, declarations, and applicable collective bargaining agreements.
- Create and assign crew change schedules and distribute all related details to relevant parties.
- Administer call-in, vacancy-filling, and volunteer processes on behalf of management in accordance with collective agreements.
- Maintain call-in and attendance logs, track communications, and prepare required records and reports.
- Coordinate shift changes and time-off requests for management approval and maintain related documentation.
- Monitor employee attendance and provide reporting and analysis to management.
- Collect and maintain accurate operational data to support management review and potential grievance or fact-finding processes.
- Prepare confidential staffing and operational reports for management and People & Culture.
- Validate payroll entries in Payworks against approved crew schedules, crew change arrangements, and job assignments.
- Review payroll exception reports, reconcile discrepancies, and report issues to management for resolution.
- Assist with the preparation and distribution of operational reports and documentation.
- Maintain up-to-date crew seniority lists, declarations, and certification records.
- Support People & Culture with scheduling new-hire orientation, familiarization, and training activities.
- Assist with maintaining certification tracking tools and established position records.
- Participate in required training and emergency drills.
- Support and monitor compliance with company health, safety, and operational standards.
- Identify potential operational or staffing risks and proactively recommend mitigation strategies.
- Other duties as assigned.
Qualifications
- Post-secondary education in Business, Operations Management, or a related field preferred.
- Minimum two (2) years of operational, administrative, or coordination experience preferred.
- Experience working in a unionized environment considered an asset.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with payroll systems and scheduling or operational software.
- Strong organizational skills with a high degree of attention to detail.
- Excellent written and verbal communication skills.
- Ability to exercise sound judgment, manage competing priorities, and handle confidential information discreetly.
- Marine or transportation industry experience considered an asset.
Other Requirements
- Completion of WHMIS, Accessibility, and Workplace Harassment & Violence Prevention training (company-provided).
Work Environment
This position is primarily based at terminal locations, with some work performed onboard vessels or in office settings. The role may require extended periods of walking or standing and handling moderate physical loads. Flexibility is required, as work schedules may include early mornings, evenings, and weekends based on operational requirements.
