The Opportunity

Reporting to the Supervisor, Community Engagement, the Coordinator, Events and Volunteers (Contract Up to 15 months) is responsible for effectively administering and supervising various recreation events and initiatives while promoting access and equitable processes for residents. This role provides supervision to full time, contract, volunteer, and part-time staff and coordinates and oversees various recreation events, initiatives, and services. Services include a department wide volunteer program and community development support for community organizations and community-led events. This position is a lead role in the delivery of corporate and community events.

  • Planning, development, and execution of a variety of recreation initiatives, including community partnerships, volunteer programs, outreach services, and events.
  • Lead the coordination and support of community-led events through the Caledon Events Advisory Team (CEAT), ensuring compliance with applicable policies, procedures, and regulations.
  • Develop and manage strategies to engage, support, and recognize volunteers, while building community partnerships to maintain and grow the volunteer portfolio.
  • Identify trends, demographics, and new techniques to determine the needs of the community while ensuring that the market is responsive.
  • Assist with the execution of marketing and sales plans to maximize revenue, usage, and customer service satisfaction; collects and analyzes data related to customer feedback and effectiveness of marketing and sales initiatives.
  • Work closely with local school boards, service clubs, conservation authorities, non-profit organizations, resident associations, and businesses to strengthen and maintain a positive cooperative working relationship and to execute partnerships that will increase the quality of recreation initiatives.
  • Assist in the implementation of policies, procedures and programs that support the delivery of Community Engagement Services.
  • Respond to emergencies, inquiries and complaints and ensures a positive relationship between the public, outside agencies and internal staff.
  • Lead the implementation of corporate and community events. Provide staffing resources for partnered events that are aligned with the recreation mandates
  • Oversee site inspections of program space to ensure proper operation and compliance pertaining to safety regulations.
  • Perform additional duties and undertake special projects as assigned
  • Recruitment, training and evaluation of full time, contract, volunteer, and part time staff; provide coaching for improved performance; develop goals, objectives and workplans; and conducts annual performance appraisals.
  • Ensures positive relationships between staff and citizens: deals with issues and works closely with Supervisor on escalated issues.
  • Provides exceptional internal and external customer service and strives for effective resolution.
  • Prepare various budgets in consultation with the Supervisor, Community Engagement.
  • Order supplies and equipment while ensuring fiscal responsibility and accountability.
  • Be responsible to work (and ensure that all staff supervised work) in compliance with the Occupational Health and Safety Act and Regulations, the Town of Caledon Policies and Procedures, as well as established industry guidelines.

The Ideal Candidate

We are seeking an enthusiastic professional with a post-secondary degree or diploma in Recreation Studies, Event Management, Hospitality and Tourism or closely related field. Minimum of 4 years related experience in an events management setting and proven experience in volunteer management including recruiting, training, motivating, and retaining diverse teams. Customer service excellence is crucial as it reflects Caledon’s quality standards: accurate, courteous, responsive, and easy to navigate.

The ideal candidate is able to make decisions involving multiple routine tasks, affecting department level and is able to exercise significant discretion and sensitivity involving regular access to confidential data. Proficiency in MS Office (Word, Excel, Outlook) and knowledge of Xplor Recreation software is an asset. We are seeking an individual with excellent verbal and written communication skills, a demonstrated capability to act as a leader, and superior interpersonal skills including the ability to work effectively in a team environment and interpedently.

You must be able to demonstrate capability to supervise and coordinate functional groups. A valid driver’s license with no more than 3 demerit points and daily access to a vehicle is required.

The contract position offers an hourly range of $42.09 - $52.60.

Satisfactory passing of a vulnerable sector check and proof of qualifications will be required of any successful candidate(s) for this position.
