Reporting to the Director, International Programs & Collaboration, the Coordinator, International Experience & Exchange Programs has primary responsibility for coordinating and supporting the delivery of OCAD University’s international programming, study abroad courses, and global experiential learning initiatives. The Coordinator oversees all aspects of the application and approval process for both inbound and outbound students, provides pre-departure, arrival and re-entry support, applies risk management protocols and is responsible for the promotion of exchange and other international opportunities.
The Coordinator works in collaboration and consultation with other Student Affairs departments, Faculty Offices, academic administrators, and the university’s international partner institutions. The Coordinator is responsible for tracking inbound and outbound student activity and monitoring the status of exchange partner agreements, while contributing to the development and delivery of international learning opportunities that support intercultural creative practice within OCAD U’s art and design learning environment.
Summary of Responsibilities:
Programming
- Serve as the primary point of contact for all OCAD U and/or external students engaging in international programming and partnerships and addresses any challenges that may arise
- Lead and/or collaborate on the delivery of art and design programming, with a focus on supporting students on developing intercultural/international creative practices both in person and online
- Working closely with Registrar’s office, Faculty offices, instructors and other relevant OCAD U staff, develop, implement and update programming, policies and procedures
- Provide expertise for appropriate risk management and safety procedures and protocols for all OCAD U community members teaching or learning internationally pre, during, and post program experience
- Work with the Director, International Programs & Collaboration, and relevant partners to develop and implement initiatives to enhance cross-cultural competencies and global citizenship of both international and domestic students within the context of art and design.
- Develop and deliver new international programs and short courses for OCAD U students, including liaising with partner institutions and developing new program structures/logistics
- Guide the university wide adaptation of Collaborative Online International Learning (COIL) and COIL plus programming, including facilitating faculty training workshops and regular check-ins with community leaders about ethical engagement and best practices
International Exchange
- Advise outbound students on exchange program eligibility requirements, application process and selection of suitable host institution(s)/programs, as well as providing support in the visa application process and liaising with local consular officials, as needed
- Consult partner institutions each term regarding the number of applications they will consider and submit nominations for exchange
- In consultation with the Program Chairs, advise approved outbound exchange students on course selection at the host institution as well as determine the number of inbound exchange students that can be admitted to each program
- Advise outbound students on exchange program eligibility requirements, application process and selection of suitable host institution(s)/programs. Organize and facilitate pre-departure sessions for outbound students; ensure students submit liability waivers and emergency contact forms, and implement OCAD U Safety Abroad procedures
- Oversee the organization and execution of information sessions for both inbound and outbound students, as well as leading the delivery of other programming for incoming student groups, including for-credit and cocurricular partnership programming, as well as incoming international exchange students
- Gather course syllabi from outbound exchange students and determine transfer credits in consultation with Program Chairs/Associate Deans and the Office of the Registrar
- Work with accessibility advisors and corresponding services at partner institutions to ensure that academic accommodations are in place for inbound and outbound students who require them
- Review inbound student exchange nominations from partner institutions and advise students on application process
- Coordinate with student advising and registrar’s office to assure inbound students have support for course selection and registration
Other Responsibilities
- Working with the Coordinator, International Relations, in alignment with OCAD U’s Academic and Strategic Plan, as well as nation-wide priorities including those set out by the Federal Government of Canada, strategize, and build appropriate new programming and agreements internationally, as well as assure all exchange Memorandums of Agreement (MOAs) are up to date
- Lead the continued collecting and assessment of community/student feedback through various surveys and related forums for program evaluation, including those in line with the requirements of Universities Canada
- Complete all reporting requirements as outlined by funders and donors
- Work with the team in International Programs & Collaboration Office to pursue both internal and external funding, including grants and federal funding
- Maintain relationships and liaise with external organizations and government representatives including Canadian Trade Commissioners and members of international government agencies
- Support the Coordinator, International Relations, in the annual University ranking processes, including maintaining up to date contact lists of nominees
- Oversee and determine the allocation of funds/bursaries for student travel as required
- Lead the mounting of two annual on-campus exhibitions of inbound exchange student work
- Support the Coordinator, International Relations to ensure relevant content on the university website and social media is accurate and up-to-date; develop program-specific materials (pre-arrival/pre-departure handbooks, brochures, etc.)
- Support the Director in the hiring, training, and supervision student monitors
- Support the Director in daily operations, special projects and other duties that contribute to the successful operation of the office
- Under the direction of the Vice-Provost, Students & International and other senior administrators, identify potential partner institutions
- Support the Coordinator, International Relations to coordinate campus visits for current and potential partner institutions
Qualifications:
- Post-secondary degree or equivalent, with a minimum of three (3) years of experience in a higher education environment
- Experience facilitating art and design learning environments, including workshops, studio-based activities, or experiential creative programming
- Experience coordinating student exchange or international programs and familiarity with other models for the delivery of international education an asset
- Knowledge and experience in managing risk with young adult populations
- Aptitude for advising/counselling students and excellent interpersonal, problem-solving, and decision-making skills
- Experience tracking and maintaing program budgets, including monitoring expenditures and supporting financial reporting
- Excellent oral, written and visual communication skills, with the ability to make presentations
- Sound judgement and diplomacy with an ability to engage with faculty, senior administrators, and international associates
- Demonstrated attention to detail and strong organizational skills, with the ability to meet deadlines and work effectively under pressure of high volume and constantly changing priorities
- Demonstrated ability to take initiative in program planning and development
- Demonstrated ability to work independently and participate collaboratively in a team environment
- Well-developed computer skills, with a working knowledge of all Microsoft Office applications; experience with Adobe Creative Suite an asset
- Experience with student information systems and online registration processes
- Previous experience living/working/studying abroad an asset
- Fluency in at least one additional language would an asset
- Demonstrated commitment to the principles of equity and diversity and experience promoting a respectful work and learning environment for students, staff, and faculty
**Compensation:**OPSEU Unit I, Appendix A, Grade A5; $66,925.74 to $87,958.44 per annum
**Hours of Work:**Monday to Friday, for a total of 35 hours per week. This position has an expected start date of April 21st, 2026.
