Job Summary
Are you an experienced administrative professional looking for a new challenge with an organization that helps Alberta's communities grow and prosper? If so, we have a position for you! The Regulator Services Division is looking for an energetic and skilled individual to join our team as an Administrative Assistant supporting the Investigations Branch in our Calgary office.
Reporting to the Senior Manager, Investigations South, the Administrative Assistant plays a vital role in supporting the operational efficiency of the branch. This position will provide comprehensive administrative support to the Senior Manager while also offering cross-functional support to other teams within the branch.
In this role, you will:
- Prepare sensitive legal correspondence and documentation, manage records, coordinate meeting logistics, and maintain fleet administration while ensuring a high level of confidentiality.
- Create, maintain and update investigation files in the appropriate databases.
- Conduct background information checks on secure external databases.
- Prepare reports and presentations to the Board and outside agencies.
Skills & Abilities
- High School Diploma plus two (2) years of well-round administrative experience
- Completion of, or course work towards, an Office Administration or Business Administration program is an asset
- Experience with databases (MOVES, OPAL, JOIN, CORES, CPIC) is an asset
- Proficiency in MS Office Suite including in-depth knowledge of SharePoint and Docusign
- Strong verbal and written communication skills are required, including experience drafting and proofreading correspondence, presentations, legal and confidential documents
- Excellent time management and organizational skills
- Strong attention to detail and ability to accurately enter information into Records Management Systems
