Position Overview

Reporting to the Senior Human Resources (HR) Manager, the HR Assistant is responsible for assisting the Senior HR Manager and the HR Generalist with support of the overall provision of HR services, policies, and programs for the First Nations Financial Management Board (FMB).

The position functions in a fast paced, high-volume environment where considerable attention to detail and the ability to handle highly confidential material is required to maximize the effectiveness of FMB Human Resources team. The HR Assistant is expected to be customer service-oriented and exhibit a high degree of diplomacy and discretion.

Accountabilities

Administrative/HRIS

  • Create, organize, maintain, and coordinate employee and office records and files;
  • Locate filed materials upon request, ensuring that materials are given only to authorized parties;
  • Prepare Word, Excel, and PowerPoint documents as directed;
  • Proofread HR-related documents;
  • Audit HR policies and procedures in place and provide suggestions on updates and/or improvements;
  • Assist with regular research and compliance initiatives regarding HR issues;
  • Maintain current knowledge of HR systems and tools, and demonstrates an ability to access required information;
  • Provide appropriate guidance and support to employees to ensure proper use of HR systems;
  • Maintain currency with emerging trends, developments, methods, and technologies in the Human Resource field;
  • Participate in various committees as needed.

Recruiting

  • Support the recruiting strategy to ensure FMB attracts high caliber talent in a timely manner by supporting the recruitment process with:
  • Post and distribute vacancies and recruitment information
  • Create and monitor job posting, advertising externally as needed
  • Sort resumes
  • Conduct phone screens
  • Schedule interviews
  • Create draft interview questions
  • Complete criminal reference checks
  • Complete reference checks
  • Draft offer letters
  • Complete and distribute regret letters
  • Support orientation of new employees;
  • Prepare application, vacancy, and job fair materials as needed;
  • Determine sourcing & attraction strategies/methodologies to increase FMB’s ability to attract, source and recruit indigenous candidates;
  • Create, review and update job descriptions when requested.

Employee Recognition and Engagement

  • Support and create initiatives in Employee health, safety, and wellness;
  • Support the increase of Indigenous Culture and Culture Awareness within FMB staff;
  • Enhance job satisfaction by resolving issues promptly, researching new perks and benefits and recommending employee training as needed;
  • Support employee retention and appreciation initiatives;
  • Ensure effective exit interviews and provide management with analysis and recommendations;
  • Assist HR Manager(s) with training program development;
  • Assist with employee training upon request.

Qualifications

  • Post-Secondary Education in Human Resource Management from a recognized educational institution;
  • CPHR or working towards it is an asset;
  • Two (2) years recent related HR experience;
  • Proficient working skills of Microsoft Suite and Adobe Products;
  • Excellent communicator with a strong command of written and spoken English; French language skills considered an asset;
  • Exceptional relationship building skills;
  • Strong organizational skills with attention to detail;
  • Excellent judgment required to provide sound direction and advice on a variety of human resources issues;
  • Knowledge of employment/labour laws and general human resources policies and procedures;
  • Experience working with information and data management systems an asset;
  • Experience working with Indigenous Governments, organizations and communities considered a strong asset.

Work Conditions

  • This position is based in Winnipeg, Manitoba, Ottawa, Ontario or Montreal, Quebec;
  • National travel may be required.
