We’re seeking a proactive and detail-oriented Marketing & Admin Assistant to support our growing B2B marketing agency. In this role, you’ll help ensure campaigns run seamlessly by managing critical execution tasks, allowing our team to focus on strategy and impact.

What You’ll Work On

Social Media Management

  • Monitor and respond to inbound messages across client and agency social channels.
  • Publish pre-approved content on platforms such as LinkedIn, Instagram, Facebook, and BlueSky.
  • Identify engagement opportunities, trends, or community interactions for the strategy team.
  • Coordinate influencer collaborations, documenting interactions and liaising with Account Managers.

Email & Inbox Management

  • Monitor and manage the agency’s general inbox.
  • Route inquiries appropriately, respond to routine emails, and maintain inbox organization.

Research & Insights

  • Conduct company and contact research to support Account-Based Marketing (ABM) efforts.
  • Update and maintain accurate data within HubSpot CRM.
  • Perform competitor analysis and environmental scans to support strategy development.
  • Track industry trends, tools, and opportunities relevant to clients (events, awards, podcasts, media).

Reporting & Dashboard Support

  • Maintain internal tracking documents and performance dashboards.
  • Monitor key marketing metrics and flag emerging trends.
  • Collect and compile data for monthly reports (HubSpot, Google Analytics, LinkedIn Campaign Manager).

Administrative Support

  • Proofread and QA marketing materials and web content for accuracy and consistency.
  • Organize and coordinate campaign assets (images, links, tags, etc.).
  • Assist with event logistics, RSVP tracking, and vendor coordination (venues, photographers, etc.).
  • Maintain internal documentation, file organization, and naming conventions.
  • Compile survey and form responses for client review.
  • Format and upload transcripts, documents, and data into AI databases.
  • Coordinate newsletter content and submissions for events, awards, and conferences.
  • Track industry events and “theme days” for content opportunities.
  • Contribute to positive team culture via internal communications (e.g., Slack).
  • Maintain and update annual marketing calendars.

Requirements

What we’re looking for

Required

  • 1-2 years of marketing experience or relevant training/internships.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication.
  • Proficiency with social media platforms (especially LinkedIn and Instagram).
  • Reliable, self-motivated, and comfortable working independently.
  • Curious mindset with a desire to learn and grow within a marketing team.

Preferred / Nice to Have

  • Experience with HubSpot or other CRM systems.
  • Familiarity with AI tools, automations, or prompt engineering.
  • Proficiency with Asana or similar project management software.
  • Working knowledge of Excel, Word, PowerPoint, and SharePoint.
  • Experience using Slack for team collaboration.

Schedule Must Agreed Upon (Eastern Time Zone):

  • Weekdays (3 days/week): 12 PM – 8 PM ET / 9 AM – 5 PM PT
  • Saturday: 12 PM – 8 PM ET / 9 AM – 5 PM PT
  • Sunday: 8 AM – 4 PM ET / 5 AM – 1 PM PT
  • Statutory holiday coverage required
