About the role

The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Job Description - Executive Assistant

Job Purpose We are looking for an enthusiastic and dependable Executive assistant that can enable various business functions across the enterprise to support the President of LTM Canada and the Executive team The incumbent will work directly with the President of LTM Facilities Mgmt Marketing Sales Product and Clevel executives and will be responsible for enabling the business based on the support needs of the above stated functions The ideal candidate is a strong communicator proactive highly self motivated professional detail oriented and capable of multitasking managing their workload and prioritizing tasks in a fast paced environment This is an excellent opportunity to navigate the several opportunities that present itself within the overall business operations In this role several internal support activities will be required that affect event management Csuite support experience internally and externally and require extensive communication with all levels of staff internally and externally

Key Responsibilities

Undertaking daily administrative tasks supporting our Executive team and local office needs Coordinate and assist in planning and executing company events meetings and client events or special projects Update sharept sites various spreadsheets databases and inventories with statistical financial nonfinancial information Facilitate effective internal communications internally and externally Assist with database management for marketing collaterals campaigns as well as sales support for RFPRFIs etc Provide administrative support to programs and internal teams Answering phone inquiries email boxes directing calls and navigating directing basic company information Plans organizes and implements events such as meetings business luncheons or client dinners Manages executive schedules and acts as liaison for executive team Prepares reports presentations and data as well as maintaining files records and correspondence Prepares information and research for executive needs Schedule meetings and support food orders supplies passes assisting with various planning sessions location logistics Office and facilities services including ordering and receiving of coffee supplies stationery supplies and inventory management Vendor community partner payments booking for all office and facilities related expenses Courier Mail Packages responsible for incoming outgoing and distribution to required stakeholders Food ordering for Internal or External Meeting Support food orders client visits special assistance as requested for LTM Executive visits Employee Life Events procuring flowers donations managing gift distribution for Long Term Service awards rewards holiday and staff celebrations Holiday party food events communication with internal managers coordination etc Assist with managing client and industry events registrations annual client gifting activities and charity payments and client donation activities Communications Canada emails distribution as per stakeholder requirements which include orchestrating communications for internal and external purposes Schedule and escort Iron Mountain document shredding technicians Create guest WIFI accounts Manage office keys request keys and pass cards for Toronto office as needed Facilitate signatures on PDF documents from required stakeholders plus ensure records retention of legal documents and client contracts tax documents etc Assist with booking meeting rooms resources for clients or internal meetings and events Assist and coordinate travel arrangement requests hotel flight car dinners only on as needed basis when not possible by central corporate team travel itineraries

Skills and Experience

Minimum 3-5 years experience as an Executive business enabler assistant Strong PowerPoint Word and Excel skills Has marketing events related experience Capable working with all levels in the organization Must have excellent oral and written communication skills Well organized with attention to detail-oriented approach Excellent presentation and business orientation skills Intermediate level or higher experience using MS Office Suite and other administrative applications with an aptitude to learn standard firm software and other relevant applicants and technical office equipment at an intermediate level Demonstrable ability to multitask and adhere to deadlines Ability to differentiate when to act independently or to partner as a team Self-starter collaborator capable of being resourceful to achieve results Experienced working with Global matrix organization and be comfortable working with teams in different time zones
