About the role

Reporting to the Manager, Student Wellness Services, the incumbent is responsible for providing first point of contact for students and others visiting the Health Centre as well as administrative and referral functions as required for the operation of the Health Centre. The incumbent will perform all support functions that are necessary to effectively and efficiently direct and support students and others in accessing health care services while maintaining operations.

What You’ll Be Doing

  • Providing accurate and timely information regarding policies and procedures, accessing services, intake processes, documentation requirements and other relevant information;
  • Collecting and compiling required information for charts for first time and repeat clients, confirming health insurance, contacts and other relevant information and preparing client charts;
  • Triaging students when they come into the Health Centre or call the Health Centre; MD vs RN appointments; routine vs emergency appointments; consulting with RNs/MDs PRNs;
  • Managing the appointment schedule, scheduling appointments with internal physicians as well as external referrals;
  • Completing referral forms from doctors and contacting specialists to make referral appointments;
  • Preparing appropriate health centre documentation (i.e. consent forms, lab labels etc.);
  • Preparing billing sheets for doctors and ensuring doctor’s office/desk is equipped with necessary materials;
  • Administering billing for specialists providing services in the health centre (Physio/Chiro/Naturopath) and tracking statistics in a billing module for MD visits;
  • Ordering, tracking and outsourcing materials, products and services as required (i.e. vaccines);
  • Establishing and maintaining effective office and billing systems/procedures including: mail pick-up, processing and distribution; inventories, ordering and selling of oral contraceptives and supplies; invoices (Visa and other billings), medical supplies, issuing of receipts and keeping track of all billings and generated revenues, making deposits and submitting monthly calculations, etc.;
  • Developing and maintaining systems for health centre’s information and records, creating appropriate databases and compiling statistics as per information requested;
  • Administering Health Centre tracking/reporting (i.e. Leave the Pack Behind, Flu Utilization reports, Student missed appointments, payments to Doctor etc.);
  • Compiling and maintaining Health Centre’s statistical revenue and documentation records;
  • Performing other related duties, as assigned.

Your exemplary planning and organization skills allow you to successfully set priorities and organize multiple tasks in a busy work environment with multiple users.

The successful candidate will also meet the following qualifications:

  • 2-year diploma in Health Services Office Administration, Business Administration or a related field.

  • 2 years of experience working in an office environment carrying out administrative or client service duties, preferably in a medical setting (equivalency will be considered).

  • Completion of medical terminology course (or equivalent).

  • Proficiency in Microsoft Office suite.

  • Knowledge of medical office procedures, anatomy and medicine, medical e-billing and scheduling and specialised medical software applications is an asset.
