The Role
The Purchasing Supervisor is responsible for overseeing the day-to-day procurement activities of the organization, ensuring the timely and cost-effective acquisition of goods and services in accordance with established specifications, standards, and procedures. This position supervises a team of purchasing agents, coordinates supplier performance, and supports negotiations within delegated authority. The role requires close collaboration with Operations, Engineering, Quality, and Plant leadership to maintain production continuity and compliance. The Purchasing Supervisor reports to the Purchasing Manager and works in alignment with Global Strategic Sourcing on execution. The position is based at Thermon Canada's Oakville, Ontario facility.
Key Responsibilities
- Supervision of Purchasing Team: Direct and oversee purchasing agents in Oakville, and provide support to Orillia as required, ensuring accuracy and timeliness in purchase order issuance and supplier communication.
- Procurement Execution: Convert requisitions into purchase orders, manage confirmations, expedite critical items, and resolve exceptions to maintain uninterrupted supply.
- Supplier Oversight: Maintain approved supplier lists, monitor supplier performance (on-time delivery, quality, responsiveness), and initiate corrective actions in collaboration with Quality and Engineering.
- Negotiation Support: Conduct negotiations on pricing, delivery, and payment terms within established authority; escalate complex or strategic matters to senior management or Global Strategic Sourcing.
- Compliance Assurance: Ensure adherence to ASME standards, engineering specifications, and company operating and quality procedures.
- ERP and Data Integrity: Maintain accurate supplier and procurement data within ERP systems, monitor MRP signals, and address shortages or rescheduling requirements.
- Issue Resolution: Investigate and resolve invoice discrepancies, receiving mismatches, and supplier claims in coordination with Accounts Payable and Receiving.
- Reporting: Prepare and distribute reports on planned orders, shortages, schedule changes, inventory exceptions, and supplier delivery performance.
- Continuous Improvement: Identify and implement initiatives to reduce lead times, improve inventory health, and optimize total landed cost.
- Cross-Functional Collaboration: Serve as a liaison with Manufacturing Operations, Engineering, and Quality to support production schedules and engineering change management.
Qualifications and Competencies
- Demonstrated ability to supervise and develop a team in a fast-paced industrial manufacturing environment.
- Strong business acumen with practical knowledge of procurement processes and supply chain operations.
- Effective communication and relationship-building skills across internal functions and external suppliers.
- Technical proficiency in interpreting specifications and ensuring compliance with engineering and quality requirements.
- Hands-on experience with ERP/MRP systems (Oracle, SAP, Microsoft Dynamics) and procurement data management.
- Strong negotiation and problem-solving skills, with the ability to resolve issues independently and escalate appropriately.

Knowledge and Experience
- 5–7 years of purchasing experience within industrial manufacturing, including 2–3 years in a supervisory or lead role.
- Exposure to complex manufacturing and engineering workflows; experience in oil and gas, automotive, or related heavy industries preferred.
- Working knowledge of metals, fabrication processes, and ASME-related standards.
- Experience with international suppliers and multi-tier supply chains; familiarity with logistics and Incoterms.
- Strong analytical skills with the ability to assess supplier capacity, risks, and performance metrics.
- Procurement certifications (CPSM, CSCP, etc.) are considered an asset.
Scope of Authority
- Direct Accountability: Daily purchasing operations, team supervision, ERP data integrity, expediting, issue resolution, and reporting.
- Shared Accountability: Supplier qualification, contract terms, and category strategies in partnership with Global Strategic Sourcing and senior management.
- Escalation: Strategic negotiations, major supplier performance issues, and exceptions impacting production continuity.
