Position Summary:
Reporting to the Equipment Department Manager, the Equipment Coordinator is responsible for the fulfillment of all project requisitions using internal or external assets, making sound decisions on best value and efficient delivery of equipment; sourcing and processing purchases as directed by the Equipment Department Manager. The Equipment Coordinator is responsible for monitoring and organizing preventative maintenance and repairs while ensuring efficient delivery and best price. The incumbent will ensure the continuous management and coordinator of the equipment inventory and maintenance control program, while understanding the impact of this position to the other business functions that depend on the accuracy and efficiency of reliable equipment resources.
Job Description:
- Thorough knowledge and understanding of NAC’s Health, Safety, and Environmental policies and procedures as per the roles and responsibilities within the HSE Manual.
- Accountable for receiving, reviewing and fulfilling all site equipment requisitions in a timely and cost effective manner while ensuring maximum utilization of NAC assets. Create and distribute purchase requisitions and obtain approval prior to placing supply orders for new equipment.
- Coordinate the delivery of internal / external rentals with project teams, suppliers and shipping companies in a timely and cost effective manner. Insuring PDI / BOM are provided and insurance coverage is supplied as required.
- Ensure that shipments contain proper documentation and if multiple items per shipment, ensure item lists are complete.
- Problem solve for any cases of missing documents, shipments and deliveries.
- Serve as the key point of contact for the project sites and coordinate the purchase and delivery of internal and external purchases with project teams, suppliers and shipping companies in a timely and cost effective manner.
- Ensure all scheduled service and repairs for equipment are completed & documented efficiently and effectively. Ensure service schedules are updated and sites are notified of service or recertification’s required.
- Coordinate with project teams and suppliers to ensure equipment is serviced and repairs in a timely and cost effective manner. Ensure WSIB is supplied if applicable.
- Coordinate asset purchases – Generate purchase orders and coordinate asset purchases. Review all leasing or sales information, negotiate warranties, arranging pre delivery inspections and obtain supplier agreements.
- Maintain & update an effective centralized inventory control program for all equipment assets, vehicles and small tools.
- Investigate & set up new venders/suppliers/rental agencies across Canada. Secure & negotiate pricing/payment terms/delivery/environmental fees/insurance coverage/early payment discounts.
- Coordinate with the yard foreperson to ensure the tool / consumables and consignment inventory are controlled and accounted for through monthly checks and annual audits.
- Coordinate the purchase, use, repair and disposal of small tools and consumables.
- Coordinate the disposal of equipment, vehicles, tools and consumables as directed. Research potential sales platforms, trade-ins or recycle programs that offers the best savings for NAC
- Maintain control and issue vehicles, fuel cards, 407 transponders to individuals as directed.
- Establish and maintain good working relationships and communications with suppliers, coworkers, other departments, project management teams, equipment operators and users.
- Liaison with government ministries for registration & licensing of:- vehicles and radios.
- Work closely with Legal & Risk Management department regarding any applicable accidents or insurance claims.
- Support estimating – Supply internal and external rates, mobilization and demobilization rates as requested. Establish and update a database of rates that can be utilized for estimating purposes.
- Follow current standards and procedures and report discrepancies to immediate supervisor.
- Maintain organized work area according to policies, procedures and safety regulations.
- Prepare reports as required for reporting to project management and senior management.
- Perform other duties as assigned.
Requirements:
- Experience in the Construction or equivalent industry preferred.
- Equipment Inventory control experience an asset
- Able to communicate both verbally and in writing.
- Basic mathematical skills.
- Valid driver's license and good driving record.
- Able to work efficiently as a part of a team as well as independently.
- Computer literacy, including advanced working skills of Microsoft Office applications such as Word, Excel and Outlook.
- Attention to detail in all areas of work.
- Good organizational, time management and prioritizing skills.
- Strong work ethic and positive team attitude.
