UCalgary International (UCI) supports UCalgary's international activities and initiatives; aligned with the goals of the External Relations portfolio and UCalgary's Ahead of Tomorrow Strategic Plan.
The International and Protocol Assistant provides coordination and administrative support for the institution's international partnerships and engagement activities. This role helps ensure smooth communication, organization, and follow-up for visits, collaborations, and events involving international partners and guests. This position reports to the Manager, International Relations but will also provide support to the UCI Senior Director, other UCI Managers, and staff in all areas of UCalgary International.
Summary of Key Responsibilities (job functions include but are not limited to):
- Assist with planning and organizing international visits, meetings, and delegations, including scheduling, logistics, and preparation of background and meeting materials.
- Help prepare correspondence, briefing notes, reports, gifts, meeting minutes and summaries related to international activities in an efficient and effective manner.
- Support the coordination of events, workshops, and campus visits that involve international guests or delegations. This includes event management and bookings, preparation of agendas and ensuring the University demonstrates appropriate international relations protocol.
- Maintain accurate records of international contacts, and engagement activities to support reporting and institutional tracking.
- Help circulate information about upcoming visits, opportunities, and outcomes to relevant units across the institution.
- Work closely with colleagues in International Relations, faculties, and administrative units to ensure smooth delivery of activities and consistent partner engagement.
Qualifications / Requirements:
- A post-secondary degree or certification in administration or International Relations is required.
- 2-3 years administrative experience with emphasis on decision-making, advanced organizational skills and the ability to anticipate needs, plan, organize, coordinate, and perform work with little or no direction.
- Strong intercultural communication and diplomacy skills.
- Superior oral and written communication skills and excellent interpersonal skills in handling a range of situations, which may include complex, sensitive, and confidential issues.
- Cultural awareness and protocol knowledge is considered an asset.
- Demonstrates attention to detail and understanding of institutional and international protocol.
- Experience organizing meeting and event logistics is required.
- Excellent organizational and multitasking abilities.
- Excellent working knowledge of Microsoft Office (Outlook, Word, Excel, Power Point), Teams, and internet web browser.
- SharePoint and experience working with a database is required.
- Knowledge of the policies, operating requirements, and University procedures is an asset.
- Demonstrated professionalism, discretion, courtesy, and respect in all interactions with internal and external clients, creating a positive image for internationalization at the University.
- Ability to work collaboratively across departments and with external partners.
- Ability to adjust work schedules to meet multiple demands and pressures.
