Administrative Assistant, Student Engagement and Wellness

Join Selkirk College as an Administrative Assistant in our Student Engagement and Wellness team. This role provides essential administrative support to Co-op Education and Employment Services (CEES) and Student Access and Support (SAS), helping ensure smooth operations and a positive experience for students, alumni, staff, faculty, and external partners.

Main Duties and Responsibilities

  • Respond to inquiries from staff, students, and the public with professionalism.
  • Assist with routine correspondence, filing, and record keeping.
  • Maintain and update student and departmental information in databases.
  • Coordinate meetings, appointments, and events, including scheduling and minutes.
  • Create marketing materials and maintain department webpages and social media to support CEES and SAS services and events in collaboration with department leads.
  • Support report writing, data collection and reporting.
  • Order equipment and supplies; reconcile departmental financial accounts.
  • Liaise with employers to facilitate partnerships, interviews, and site visits.
  • Assist with Work Study hiring processes and budget tracking.
  • Schedule SAS student service appointments and invigilator call outs.
  • Ensure secure handling of sensitive student files and documentation.

Skills, Knowledge, and Abilities

  • Excellent interpersonal skills with the ability to interact with diverse populations.
  • Excellent customer service, organization, communication, teamwork and prioritization skills.
  • Strong written and verbal communication skills.
  • Strong computer skills including demonstrated proficiency in word processing, spreadsheets, database software, web content management and SRS.
  • Ability to work flexibly, independently and with students and college personnel.
  • Excellent attention to detail.
  • Discretion when dealing with sensitive matters.
  • Demonstrated ability to understand and interpret and analyze data accurately and effectively.
  • Ability to work from other campuses as required and at times, outside regular office hours during events and workshops.

Education and Experience

  • Completion of Business Administration or Office Management Diploma.
  • Minimum 2 years’ relevant experience in Post-Secondary or Career Education field.
  • Proficiency in web content management, knowledge of Moodle, T4, and Drupal is considered an asset.
  • Experience working in Unit4 and SRS.
  • High level of cultural competency learned through experience working with diverse groups in education and/or service setting.
  • Demonstrated proficiency in MS Office Suite.

This is a regular, full-time (100%) position, commencing January 5, 2026. Salary will be Pay Grade 7, $32.09 per hour (subject to JE Review) in accordance with the PPWC Collective Agreement.
