Wage Range: $29.17 up to $33.49 based on education and related experience.

Purpose and Function
The Digital Media and IT Specialist plays a critical role in maintaining and enhancing the technological and digital infrastructure of ASK Wellness Society. This position is responsible for overseeing and administering the Society’s Client Information System, ShareVision, ensuring it remains secure, functional, and aligned with program needs. In addition to acting as the primary point of contact for all IT-related support across the organization, the IT Specialist manages IT asset inventory, oversees mobile device setup and tracking, and provides first-level technical support to staff. This role also leads the development of internal administrative workflows using Microsoft 365 tools, optimizing efficiency and communication across departments. Complementing these technical responsibilities, the IT Specialist applies graphic design and videography skills to support branding, communications, and promotional efforts, ensuring all visual content aligns with the Society’s values and standards. The IT Specialist works cross-functionally to support service delivery, innovation, and digital literacy, helping to strengthen the Society’s overall operations and community impact.

Digital Media Responsibilities

  • Designing branded visual materials for programs, events, and campaigns, including posters, banners, social media graphics, brochures, and signage.
  • Creating and maintaining multiple logo formats and graphic assets to ensure consistent visual identity across digital and print platforms.
  • Producing short-form video content for internal training, promotional storytelling, and awareness campaigns, using tools such as Adobe Premiere Pro or equivalent software.
  • Developing visual content for digital platforms, including websites, e-newsletters, and Microsoft 365 tools, ensuring accessibility and clarity.
  • Collaborating with program and communications staff to understand creative needs, gather design requirements, and meet project deadlines.
  • Supporting special events by designing branded event collateral such as events tent backdrops, name tags, directional signage, and presentation slides.
  • Managing an organized library of digital assets, templates, and project files to ensure efficient access and use across departments.
  • Creating instructional and promotional content that aligns with ASK Wellness Society’s values, tone, and branding guidelines.
  • Offering design consultation and technical support to staff as needed to ensure consistency and quality in program-level communications.
  • Staying informed of design trends and best practices to ensure materials remain fresh, engaging, and inclusive.

IT Responsibilities

  • Serve as the Society’s point of contact for internal IT support, providing first-level technical assistance to staff across all sites.
  • Support the setup, maintenance, and compliance of IT assets, including laptops, mobile devices, and peripherals, ensuring proper tracking and security.
  • Administer and maintain the Society’s Client Information System (ShareVision), including form design, automated documentation flows, and data tracking tools.
  • Manage user accounts and access permissions through ShareVision configuration.
  • Develop and maintain internal administrative workflows using Microsoft Power Automate and SharePoint to streamline approvals, reminders, and task management.
  • Provide remote and on-site troubleshooting for hardware, software, and connectivity issues using tools like Remote Desktop and Microsoft support platforms.
  • Create and oversee a structured incident/ticketing system to track and resolve IT service requests, ensuring timely and documented support responses.
  • Support staff onboarding by configuring and deploying IT equipment, setting up mobile phones, and ensuring access to required systems.
  • Collaborate with leadership to ensure that IT infrastructure and systems support organizational goals and data security requirements.

Qualifications and Suitability

  • Diploma or degree in Computer Science, Digital Arts, Graphic Design, or a related field.
  • Experience in project oversight, event planning, and client information systems administration, with a focus on system optimization
  • Familiarity with ShareVision or similar client information systems.
  • Proficiency in graphic design software (e.g., Adobe Creative Suite - Illustrator, Photoshop, InDesign).
  • Understanding of networking basics like IP addresses, DNS, DHCP, and VPNs, with experience supporting connectivity and system performance.
  • Microsoft 365 certification an asset.
  • Strong organizational, time-management, and multitasking skills.
  • Excellent problem-solving abilities, with the capacity to work independently and collaboratively.
  • Clear communication skills and a self-starter mindset, with the ability to adapt to changing priorities.
