About the role

The Orthopaedic Surgery Division at Mount Sinai Hospital is seeking a Medical Administrative Assistant to support the hip and knee arthroplasty practice of Dr. Seper Ekhtiari. This is a key role within a busy surgical practice and is ideal for a highly organized, patient focused individual who brings professionalism and positive energy to their work, and who communicates effectively in fast paced or high pressure situations.

The successful candidate will work closely with patients, hospital teams, and external healthcare providers to support efficient clinic operations and an exceptional patient experience.

This position provides the opportunity to work within a specialized orthopaedic surgical practice while contributing meaningfully to patient experience and clinical outcomes.

In this role you will:

  • Communicate in a positive and effective manner with patients, families, and external partners in person and over the phone
  • Coordinate and run outpatient clinics, including checking patients in and providing educational and logistical information to patients consenting for surgery
  • Respond to patient phone calls and emails in a professional and compassionate manner
  • Prepare and organize weekly O.R. reports to support pre-operative planning
  • Book patient appointments and diagnostic tests (e.g., MRI, CT Scan, ECG) as recommended by physicians
  • Schedule patient surgeries and coordinate timely Pre-Admission Unit appointments, ensuring all required documentation is completed accurately
  • Validate OHIP health cards and manage patient registration processes
  • Enter surgical cases in the online booking program and monitor wait times in compliance with WTIS standards
  • Collaborate with administrative support staff to ensure efficient clinic operations
  • Provide general administrative support including managing calls, couriers, mail, photocopying, faxing, filing, ordering supplies, and resolving issues as they arise
  • Complete OHIP billing in accordance with established procedures
  • Perform other duties consistent with the job classification as required

Job Requirements

Job Requirements:

Mandatory

  • Successful completion of a college diploma from an accredited educational institution

  • 2 years of related experience preferably working within a clinic/health environment

  • Applicants with proven equivalent recent and related training and experience may be considered

Preferred

  • Familiarity with hospital-based workflows and Ontario healthcare systems

  • Previous experience in a surgical or specialist medical practice

Skills and Knowledge

  • Proficiency with various EMRs and booking systems ( eFax, Accuro, Cerner, Epic)

  • Proficient in Microsoft Word, Excel, Power Point, Outlook

  • Ability to remain calm, adaptable, and professional under pressure

  • Demonstrated work ethic; positive, patient focused attitude; superior professionalism; dependability and reliability; demonstrated commitment to providing outstanding customer service

  • Superior written/oral communication and presentation skills; excellent interpersonal and relationship building skills; ability to effectively convey factual information and detailed explanations

  • Confident time management, organizational and self-planning skills displaying flexibility by adjusting work schedules according to changing priorities, meeting demanding deadlines and producing high quality work

  • Demonstrated ability to make decisions, exercise good judgment, discretion and initiative when dealing with confidential information and/or in responding to inquiries

  • Demonstrated satisfactory work performance and attendance record
