Job Title: Office Administrator Reporting directly to Skeena’s Vice President, People and Culture, the Office Administrator is responsible for assisting Skeena’s senior management team and ensuring the day-to-day operations of the office are running smoothly. Working in collaboration with all departments, the Office Administrator supports staff, guests, and maintains a productive and welcoming work environment. This role is for a self-motivated, multi-tasker, with a friendly personality that is highly organized.
Responsibilities (including But Not Limited To)
- Manage front desk operations, including managing visitors and handling incoming calls and deliveries
- Support meeting coordination, room bookings and guest management
- Manage and maintain incoming and outgoing mail and packages through various courier services.
- Ensure all common areas are clean, safe, and well-organized
- Maintain office supplies and equipment, ensuring inventory is fully stocked with necessary supplies
- Coordinate keys, access cards, parking requirements
- Meeting management by requesting IT needs, catering and facility services
- Act as one of Skeena’s floor wardens, providing office emergency/fire procedures and assistance to staff
- Managing Vancouver corporate employees’ hotel bookings and travel requirements through the company internal platform
- Liaise with vendors, service providers, and building management as needed
- Support departments with presentations, proposals, and documentation as required
- Support the HR and Finance teams with administrative tasks such as invoices and expenses
- Send out quarterly financial statements to investors as required
- Plan and organize company events and special meetings
- All other duties as reasonably assigned
The Ideal Candidate
Education / Qualifications
- Post-secondary education such as a certificate, diploma, or degree in Office/Business Administration or related fields would be an asset
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
- Familiarity with office equipment (printers, copiers, scanners, phone systems)
- Experience in using Pronto ERP (or similar ERP systems and willingness to learn) for requisitions and purchase orders
- Experience in coordinating travel arrangements (flights, transportation, accommodations)

- Strong organizational and time management skills
- Detail oriented with excessive attention to detail
- Strong written and verbal communication skills
- Exhibits a high degree of responsibility for confidential matters
- Effective team player who can jump in wherever is needed
- Strong interpersonal and reasoning skills, with proven problem-solving abilities
- High level of discretion and professionalism
- Highly self-motivated with the ability to work independently as well as with others
Work Location & Conditions This is an office-based job, in Skeena’s Corporate office located in Vancouver, British Columbia on a Monday to Friday schedule. Additionally, the job is in a fast-paced work environment, with multiple competing priorities. This role is not hybrid or work from home position.
Compensation The expected salary range for this position is CA$45,000- CA$65,000 , in line with the competitive job market for such roles carried out in British Columbia. Salary ranges are guidelines and any job offer received by a candidate will be determined on a number of factors such as relevant education, training, and/or experience.
