About the role
Job Description:
On behalf of our public sector client, Affinity is looking for an Event detail-oriented and proactive Event Planner to support the planning and delivery of the Fire Safety Forum, a one-day, in-person event scheduled for February 2026 in Vancouver. This role will focus on logistical coordination, including venue selection, attendee management, and coordination of services to ensure a smooth and inclusive experience for all participants.
Event Planning & Coordination Responsibilities
• Venue Coordination: Research, recommend, and secure a suitable venue in Vancouver for a one-day, in-person event scheduled for February 2026.
• Attendee Management: Support the development and maintenance of the attendee roster; manage registration logistics and respond to inquiries.
• Planning Meetings: Participate in regular planning sessions and provide updates on progress, risks, and next steps.
• Vendor Liaison: Coordinate with catering, audiovisual, signage, and other service providers to ensure timely and effective service delivery.
• Agenda & Speaker Support: Track planning milestones and ensure internal teams meet deadlines for agenda development and speaker confirmations.
• Accessibility & Communications: Coordinate with relevant parties to ensure accessibility and communications plans are in place.
• Budget Tracking: Monitor expenditures, track budget usage, and provide regular financial updates
Key Deliverables:
• Venue Secured: Confirmation of venue booking with details on capacity, accessibility, and services.
• Attendee Roster Support: Finalized registration list and tracking system for attendees.
• Vendor Coordination Plan: Summary of confirmed vendors and services, including timelines and contact details.
• Planning Milestone Tracker: Documented timeline of key planning activities, responsibilities, and status updates.
• Budget Tracking Reports: Regular reports detailing expenditures, remaining funds, and forecasted costs.
• Event Logistics Plan: Comprehensive plan outlining day-of logistics including room setup, signage, catering, A/V, and contingency planning.
• Post-Event Summary: Brief report summarizing event execution, challenges, and recommendations for future events.
