Our Corporate Services team based in our Toronto Head Office manages our finance, human resources, back office, administration and IT support services for our global employees, customers and stakeholders.

We are actively hiring an IT support & Office Administration executive that can help with managing our users in onboarding, day-to-day technical, operational and back office support. This role is not a pure IT support role, we have a dedicated IT Support vendor, rather a technical facilitator that can work with users and the vendor to ensure that all employees possess the correct hardware, software, applications, cyber security training and compliance.

Roles and responsibilities:

IT Support Administration

  • Monitor and support help desk ticket resolution (delivered through 3rd party IT vendor).
  • Maintain hardware inventory and documentation of IT equipment issued (Asset Management).
  • Assist with technology onboarding of new colleagues (user setup, configuration & compliance).
  • Monitor IT outsourcing Company SLA and Satisfaction Performance.
  • Password Management.
  • Cyber Security Training and Compliance Monitoring.

Office and Facilities Administration

· Office administration/reception – filing, answering phone calls etc.

· Place monthly orders for food, snacks, and office supplies.

· Mailing and shipping.

· Maintain plants.

· Manage facility and maintenance vendors.

· Identify and executes cost savings initiatives.

· Secondary support for travel and event coordination.

Skills and qualifications

· A college diploma or certificate in business administration, office administration, or an IT-related field (such as computer science or information technology) is an asset.

· 5+ years experience supporting office and IT environment.

· Proficiency in Microsoft Office suites and other office technology.

· Comfortable working in a fast-paced environment.

· Strategic planning and business development skills.

· Experience supporting company events for internal staff and vendors.

· Exceptional leadership, organizational, and time management skills.

· Excellent interpersonal and communication skills.

· Strong analytical and problem-solving skills.

· Some experience with IT systems, networks, and related technologies.

· Some knowledge of best practices in IT administration and system security.

· Some knowledge of deploying and enforcing security policies and procedures.

· Attention to detail, sense of urgency

· Ability to work independently and as part of a team

· Some knowledge of booking travel and coordination

This position is based in our Toronto office 5 days a week reporting into our Deputy Chief of Staff. There will be a lot of variety, scheduling of tasks, ad hoc requests and projects that will keep you busy.
