About the role

ISL delivers engaging and community focused projects across Western Canada. Our Proposal and Production team supports all ISL offices and disciplines with practical, clear, and competitive submissions that help win work. We are seeking a Proposal Support and Coordinator professional who brings strong formatting skills, organization, and a collaborative mindset to help develop high quality proposal and report submissions.

A Little About Us ISL’s Proposal/Production Team supports all offices and all disciplines of business at ISL. Our objectives are to increase the organization’s win rate, while delivering quality, creative and compliant proposals.

A Little About You

  • You thrive in fast paced work environments with competing deadlines.
  • You are confident with your InDesign skills to build proposals that will win ISL work
  • You are a relationship builder who is easily able to influence what is needed from a variety of Project Managers.
  • You want to help ISL be a top three in the market by advancing our capability to successfully compete on RFP’s across BC, AB, Yukon and Saskatchewan.
  • You seamlessly integrate into diverse proposal teams, adapting your communication style to collaborate effectively across a range of personalities and workflows.
  • You have a strong grasp of both the business and client needs which allows you to translate complex technical language into compelling, client-focused proposals.
  • You are confident taking initiative to identify and resolve challenges independently.

Your Application Should Show Us

  • Proficiency in Microsoft Word, Excel, and Bluebeam for formatting and assembling proposal content.
  • Experience working with Word templates and formatting large documents.
  • Familiarity with Adobe and/or Bluebeam for creating and merging pdf documents.
  • Strong attention to detail, organization, and the ability to manage competing deadlines.
  • Practical judgment and a proactive mindset when coordinating inputs.
  • Comfortable working independently and contributing to a supportive team environment.
  • Ability to communicate clearly and collaborate with contributors across offices and disciplines.
  • Strong writing, formatting, and document production skills.

Responsibilities A Little More About the Role As a valued member of our Proposal team, you will support proposal coordination and production through the following responsibilities:

Proposal Support

  • Formatting and producing proposal documents and technical reports so they are ready for delivery in line with client requirements.
  • Preparing digital and physical proposal packages and work with production staff to support timely delivery.
  • Supporting the formatting and refinement of current proposals.
  • Working closely with proposal coordinators and technical writers to gather, structure, and organize inputs.
  • Populating established proposal templates with clear and accurate content.
  • Updating standardized materials such as CVs and project sheets so current versions are always available.
  • Using MS Office, particularly Word and Excel, and Bluebeam to assemble and refine proposal documents.
  • Working with Word templates and compile large, complex pdf documents using Adobe or Bluebeam.
  • Meeting tight deadlines with a nimble approach while balancing multiple inputs.
  • Working independently and as part of a collaborative team with strong attention to detail.
  • Applying a systems thinking approach by understanding how document components fit together across the proposal lifecycle.

Proposal Coordination

  • Supporting a collaborative team that produces winning proposals across all ISL offices and disciplines.
  • Helping coordinate proposal efforts by working with internal contributors at all levels and supporting responses to a range of RFX processes.
  • Managing multiple deadlines in a fast paced environment and help drive proposal schedules and deliverables.
  • Contributing practical, strategic, and creative ideas that support business development opportunities.
  • Using strong communication and relationship building skills to gather required inputs from project managers and technical teams.
  • Integrating smoothly into diverse proposal teams and adapt communication styles to different personalities and workflows.
  • Supporting ISL’s competitive positioning across BC, Alberta, Yukon, and Saskatchewan.
  • Translating technical information into clear, client focused proposal content.
