Nature & Scope We are seeking to hire a resourceful and detailed-oriented Administration Clerk for a Community Based Term at our Logistical Site Support office in Sanirajak, NU (Fox Main Hall Beach). You will support and contribute to a positive, culturally diverse and team-oriented workplace. Ideal for an individual who prides themselves on their organizational skills and for someone who is seeking a role they can bring their strengths to. The position will provide the opportunity to develop into a valued member of the day-to-day operations of Nasittuq, greeting staff, visitors and third parties to the site while working together with the North Warning System team within the office, the Zone and across the organization.
Land Claim Beneficiaries of the Nunavut, Inuvialuit, and Nunatsiavut Land Claim Agreements will be prioritized. Non-beneficiaries living locally will be considered for this term position.
This position is covered under the provision of the collective agreement with the International Brotherhood of Electrical Workers (I.B.E.W.) Local 2228.
Key Responsibilities
- Serve as a key point of contact for queries from your manager, supervisor and site staff as well as work with corporate office departments out of Ottawa such as payroll, benefits and human resources
- Provide general administrative support to management, site staff and operational personnel
- Maintain accurate records, reports, and filing systems (electronic and paper)
- Support the coordination of meetings, process expense reports, timecards, vacation requests and other staff management tasks and responsibilities
- Communicate effectively in person with site staff as well as other internal departments, external partners and Company personnel via phone, email and Microsoft Teams
- Handle incoming and outgoing mail and correspondence
- Gain exposure to the company’s operations and support the coordination of shipments, travel arrangements and staff as required
- Ensure compliance with company policies, safety standards, and confidentiality requirements
Qualifications
- Completion of high school and previous administration/clerical experience and/or a combination of education and related experience
- Proficient in Microsoft Office Suite (MS Word, Excel, Outlook and Teams) and general office equipment
- Strong organizational skills, attention to detail and ability to prioritize tasks and responsibilities
- Excellent written and verbal and interpersonal communication skills using appropriate discretion and tact in dealing with Senior Management staff and visitors
- An inquiring mind and a desire to contribute to the success of the company
- Must have a valid driver’s license and reliable transportation to and from the work location
- Strict adherence to all safety policies, participation in required training, adherence to cold-weather/remote-site procedures and prompt reporting of hazards or incidents is a condition of employment
